What you can do

Give the front desk a booking it can act on

Booking Coordinator records the customer name, appointment subject and scheduled start and end. The booking also identifies its owner, salon organization and main resource, along with the quoted amount. This gives the front desk a defined visit to prepare before confirming it with the customer.

Consider a customer requesting a color service followed by a treatment. The appointment needs an interval the salon can support and the appropriate station or room. Booking Coordinator checks the resource claims and supporting evidence before moving the booking from Requested to Held and then Confirmed under the salon’s agreed policy.

How the work is organized

  • Visit identity. Use the booking number and customer name to identify the request. The subject explains the visit, while the assigned owner gives staff a person to contact when preparation is incomplete.
  • Scheduled interval. Record the intended start and end, then examine the linked resource reservations. Setup and cleanup requirements belong in that preparation rather than being discovered when the next customer arrives.
  • Confirmation evidence. Confirm a held booking only after the agreed consent and deposit evidence has been checked. A quote describes the offered amount; payment evidence establishes what the provider actually recorded.

What to agree during setup

Agree how reception staff identify a booking when a customer calls to change it. Customer names can repeat, so the booking number and scheduled visit should be part of the conversation. Decide who owns the record when another member of staff takes over the appointment.

Define the consent and deposit policy for the services in the pilot. Identify the evidence that supports confirmation and how staff deal with an external result that has not been verified. Also agree the salon time zone and how the scheduled interval is displayed to staff. The person confirming the visit should understand exactly which appointment and evidence are being acted on.

Check the handoff on an actual case

Create a requested color appointment with its customer, owner and scheduled interval. Booking Coordinator identifies the main resource and reviews the reservation lines before requesting a hold. Attach the supporting consent material and examine the relevant payment-provider event under the agreed deposit policy.

Complete the agreed stylist review, then confirm the booking when the consent and deposit evidence supports the decision. Repeat the rehearsal with an unverified external event. The operation should identify the need for review rather than presenting the appointment as successfully confirmed without support.

Then have the assigned Stylist locate the confirmed visit on arrival. The stylist should be able to identify the customer and planned work without asking reception to reconstruct the booking from messages. A different booking owner or an outdated revision should be resolved through the agreed handoff before the service action proceeds.

What your team sees

  • Requested Bookings — New appointment requests with the customer, interval and responsible owner visible.
  • Booking Schedule — Held, confirmed and active visits arranged around their scheduled start and end.
  • Held Bookings — Visits awaiting the evidence needed for confirmation.
