What you can do

Understand what the appointment occupies

A booking can depend on a chair, a station or a treatment room as well as the person providing the service. Booking Coordinator records the resources associated with the visit and the units reserved. The reservation line also carries capacity and the setup and cleanup minutes used when reviewing the intended interval.

A treatment room may need preparation before the customer arrives and cleaning after the service ends. Those activities affect how the room can be used around the visit. Keeping them with the reservation helps Booking Supervisor examine the operational requirement without treating the visible service duration as the entire resource commitment.

How the work is organized

  • Resource identity. Select the actual resource record belonging to the salon organization. Its code and eligibility note help staff distinguish a particular chair or room from another with a similar name.
  • Capacity claim. Retain the units reserved and the capacity basis on the booking’s reservation line. Agree what a unit represents for the chosen resource before staff compare claims.
  • Preparation allowance. Keep setup and cleanup minutes with the reservation. Use them when examining the requested booking interval and the salon’s agreed hold policy.

What to agree during setup

Admin prepares the resource records and confirms which are active for booking. Agree the meaning of capacity for each resource: a chair and a shared treatment area may require different operating conventions. Decide who can change that definition and how an existing reservation is reviewed after a resource change.

Agree how the hold procedure checks the interval and surrounding preparation time. Establish the handling of simultaneous requests and any conflicts before allowing routine use. Staff also need a clear cancellation policy so they understand when a reservation is released and how to investigate an uncertain release outcome.

Check the handoff on an actual case

Prepare a treatment booking that uses a room with setup and cleanup time. Booking Coordinator records the reservation and examines the planned start and end together with those allowances. Ask Booking Supervisor to explain when the room is required and what capacity the booking claims under the agreed policy.

Now introduce another requested appointment close to that interval. Rehearse the salon’s conflict decision before placing both holds. The team should be able to identify the resource and reservation basis behind the decision instead of relying on the appointment subject alone.

Finally, cancel an eligible held booking. Follow the operation receipt and check that the still-reserved capacity is released once. Retry the original cancellation request and check the recorded release. It should leave the reservation released once. If the result is uncertain, send it through reconciliation before treating the resource as available for another commitment.

What your team sees

  • Resource Reservations — Positive reservation claims with their resource, capacity basis and preparation allowances.
  • Booking Schedule — The parent visit intervals used when reviewing the resource requirement.
