What you can do

Lot and availability in daily work

The item record says whether lot tracking applies. For tracked items, each lot carries a code, expiry date, release state and owner reference. Posted signed movements supply on-hand quantity by item and location; active reservations reduce free quantity for the same exact scope. A request can refer to an item and storage site, while a reservation can carry the selected lot.

How the work is organized

  • Lot evidence. Use the item tracking choice, lot code, release state and expiry date together.
  • On-hand position. Sum posted signed movements for the selected item, location and lot.
  • Free quantity. Subtract active claims in that same scope before accepting another reservation.

What to agree during setup

Agree the evidence needed to change a lot release state, who owns expiry review, and how the storage location eligibility note affects selection. Use the same base unit for the requested and posted quantities. Agree who updates a lot’s release state and what evidence supports the change. The Inventory Reviewer should check a pending lot before it becomes released. The Warehouse Operator checks expiry at the time of the claim, even when an earlier stock position showed quantity. Agree how the site eligibility note affects selection and how a lot owner reference maps to the client’s stock. Rehearse two requests competing for the same released lot so the second claim uses only the remaining free quantity.

Check the handoff on an actual case

For a requested lot-tracked item, the Coordinator first checks the stock position in Operations Overview. The Warehouse Operator checks the lot code and expiry date and confirms that the lot is released. A quarantined lot stays out of the eligible calculation even if posted movements show physical quantity on hand. The team then compares free quantity with the request and any active claims before reserving. If the first approved request reserves part of the lot, the second cannot use the full posted on-hand amount. The Warehouse Operator checks the active claims at the exact site and lot, then either reserves the remainder or sends the request back for another eligible lot. The Inventory Reviewer examines a quarantined lot separately; a physical quantity on hand does not make it releasable. After issue, compare the negative posted movement with the consumed claim and the updated free quantity. The lot’s code and expiry date remain visible for later reconciliation.

What your team sees

  • Lots needing disposition — Lots waiting on release decisions, with expiry and item identity.
  • Posted movement ledger — Posted quantity changes used with active claims to assess free stock.

Follow the work through

Start with the client stock request path, then use review and correction when a decision or quantity needs attention. The data model shows how the records link, while roles helps the team rehearse access.
