What you can do

Stock requests in daily work

The Coordinator creates a request with a record number, subject, organization, owner, item, location, requested units and required date. The status distinguishes preparation, review, approval, execution, rejection and cancellation. An attachment can retain the supporting file, evidence type, upload date, visibility and uploader. The reviewer records a decision against the request revision rather than relying on an informal message.

How the work is organized

  • Preparation. Coordinator identifies the client, item, site, owner, requested units and required date.
  • Decision. Inventory Reviewer records a reason against the current request revision.
  • Execution. Warehouse Operator receives approved scope before claiming stock or confirming issue.

What to agree during setup

Agree what evidence an owner must attach before review, which reviewer is independent of preparation, and who may cancel an unexecuted request. Set a rule for changed quantities after review: a changed revision needs a fresh decision. Agree which evidence accompanies a request into review and who can return incomplete information to the owner. Give the Inventory Reviewer independence from preparation. A quantity or site change after review needs a fresh decision against the new revision. Decide who may cancel an unexecuted draft and how its active claims are released. The required date should reflect the client’s operating time zone so the team can prioritize work consistently. Test an approval, rejection and stale revision before the first physical issue.

Check the handoff on an actual case

Imagine an urgent issue for a client item due tomorrow. The owner prepares the quantity in its base unit and links the intended storage site. The Inventory Reviewer checks the source scope and evidence, then approves or rejects with a reason. The Warehouse Operator acts only on the approved request. The team can later see the original due date and the actual execution time without overwriting the decision trail. The reviewer sees the request’s due date, owner, item and site alongside its attachment. If the source evidence names another organization, the reviewer rejects it with a reason and the Coordinator corrects the request. Once approved, the Warehouse Operator can claim eligible quantity and confirm the issue. The posted movement and execution time then show what happened physically. If the Coordinator later asks to cancel an accepted or executed request, a reviewer-approved compensating path protects the original movement and decision. A simple draft cancellation does not rewrite stock history.

What your team sees

  • Requests awaiting review — Submitted requests with owner, item, site and due date.
  • My stock requests — Requests assigned to the signed-in member.

Follow the work through

Start with the client stock request path, then use review and correction when a decision or quantity needs attention. The data model shows how the records link, while roles helps the team rehearse access.
