What you can do

Start with the item and lot the team can verify

A chemical stock request needs an exact item identity and a consistent quantity unit. Admin maintains the chemical SKU, name, base unit and lot-tracking policy within the operating organization. The Inventory Coordinator uses that context when preparing a receipt, movement, reservation or issue so the request refers to the intended stock.

For lot-tracked items, the lot record adds its code, expiry, release state and owner reference. Pending, Released, Quarantined and Blocked distinguish the recorded release position. The inspected-stock operation also checks expiry before posting, so a familiar lot code or a Released label alone is not enough to explain whether a particular operation may proceed.

How the work is organized

  • Item identity. Use the SKU and name together when selecting stock. Confirm the base unit against the item master before preparing a quantity. Similar item descriptions must not cause a request to use the wrong chemical record or a different unit convention.
  • Lot context. Keep the lot code linked to the intended item, with a checked expiry and owner reference. The Inventory Coordinator and reviewers should be able to follow a request into the lot information that supports its eligibility.
  • Release exceptions. Review Pending, Quarantined and Blocked lots before planning stock effects. The guarded inspected-stock action excludes those states and expired lots, preserving the distinction between a recorded stock quantity and stock eligible for the proposed operation.

What to agree during setup

Choose item and lot naming conventions that the team can reconcile with physical labels and source documents. Agree the base unit before importing quantities. If an external system uses a different unit, define that connection’s conversion and verification procedure separately before its values enter a stock request.

Assign responsibility for item-master and lot-state maintenance during setup. Verify who may establish opening lot information and how changes to expiry or release state are reviewed under the site’s operating procedure. Use a pilot item whose identity and documentation the team can check, then confirm the user and organization context before preparing stock work.

Check the handoff on an actual case

Use chemical SKU CH-204 with a lot the team can physically identify. Admin confirms the item’s base unit and lot policy. The Inventory Coordinator prepares a receipt request for that item and opens the lot record to check its release state and expiry before submitting the evidence for review.

Repeat the case with the lot marked Quarantined, then with an expired lot. The inspected-stock action must not post those cases as eligible stock. Also change the request unit during rehearsal and check that it is rejected against the item master. Return to the correct item, unit and eligible lot before testing the approved operation and inspecting its posted movement.

What your team sees

  • Active Chemical Items — Active chemical SK us with their base unit, lot policy and owning organization.
  • Released Chemical Lots — Released lot records with expiry and owner reference available for the eligibility check.
  • Lot Exceptions — Pending, Quarantined and Blocked lots that need attention before stock planning.

Follow the work through

Use inspected stock operations to test item and lot checks, then follow reservation and consumption for approved allocation.
