What you can do
Make the quantity traceable to its movement
Posted signed stock movements establish the recorded on-hand position. Each movement links the request, item and location, with a lot reference where applicable. Its signed quantity and base unit explain the effect on stock, while the occurrence time and source-effect key help the team trace the operation that produced it.
Operations Overview presents the posted chemical stock position and availability after active reservations. The Inventory Coordinator and Inventory Reviewer can use the underlying movements to explain a quantity before acting on an exception. Keeping the movement history available also gives Auditor a route from the displayed position back to the approved request and its evidence.
How the work is organized
- Inspected posting. The receive or move action checks authenticated organization, actor scope, source identity and expected revision. It compares the base unit with the item master and excludes ineligible lot states or expiry before appending the posted effect.
- Quantity explanation. Group posted signed quantities by the intended item, location, lot and base unit. Inspect the source request when a movement needs explanation, and keep unlike units out of a combined quantity total.
- Retained history. Use a compensating movement for an eligible posted correction. The original movement remains available, and the reversal reference identifies the effect being addressed so the team can explain the resulting position.
What to agree during setup
Reconcile the pilot’s starting stock with the movement history that will establish its opening position. Agree how the approved receive and move paths map the request’s location references to their persisted effects. Check the actual movement records before relying on a location-level total in the overview.
Define how the source-effect key identifies the operation and how repeated requests reuse that identity. Agree the evidence needed to explain an unexpected quantity. If warehouse equipment or an external stock system supplies a transaction, establish its unit and source identity mapping as part of the connection setup.
Check the handoff on an actual case
The Inventory Coordinator submits an inspected receipt for CH-204 using the correct base unit and an eligible lot. After independent approval, inspect the posted movement and follow its request, item, location and lot references. Compare the resulting on-hand position with the signed quantity added by the operation.
Retry the same source operation and check that it does not add another stock effect. Rehearse a unit mismatch and an expired lot, then confirm that neither creates an eligible posting. Finally, examine an approved correction through its compensating movement and original reference. The Inventory Reviewer should be able to explain the net position while both parts of the history remain available.
