What you can do

Keep the decision with its scope

A decision record identifies the parent request, the source revision, reviewer, decision, time and reason. Inventory Reviewer uses those fields to explain what was approved, rejected or returned. A request may be edited after a decision, but the decision remains attached to the revision it considered. That makes the review trail useful when the team reconstructs an exception later.

The reviewer is a team member associated with an organization and a platform user. App Administrator maintains membership; administrative setup does not itself decide a request. Inventory Coordinator prepares the work and reads the result. Auditor can inspect authorized evidence without changing the decision.

How the work is organized

  • Source revision. The request revision identifies the scope the reviewer considered.
  • Independent decision. A named reviewer records Approve, Reject or Return with a reason.
  • Trace. The decision remains linked to the request and can be read alongside attachments and resulting operations.

What to agree during setup

Define the point at which an edit to a request requires another review. Agree how a returned request is revised and resubmitted, and how the coordinator recognizes the latest decision. Make the reason useful to the next person: it should identify the stock, evidence or scope that needs attention. Verify who can act as an independent reviewer within each organization.

The team should test decisions on both ordinary stock work and a cold chain hold. The hold has its own review record. Decide how its outcome is checked alongside the request decision before stock is moved or reserved.

Check the handoff on an actual case

Inventory Coordinator submits a request for a lot and location. Inventory Reviewer sees the request revision and supporting evidence. The reviewer returns it because the lot context needs clarification, records the reason and time, and keeps the decision attached to that revision. The coordinator updates the request, then sends the changed scope for another decision.

A second reviewer should be able to read both decisions in order and see what changed. For an approval, the team checks the same revision before considering the stock outcome. For a rejection, the reason remains available to the coordinator and auditor even after the request is closed.

What your team sees

  • Requests under review — Requests that need a reviewer decision now.
  • Reviewer decision trail — Decisions, reasons and source revisions for each request.
  • Shared evidence — Attachments the reviewer can use to assess the scope.
