What you can do
Connect the posted quantity to inspected evidence
The Inventory Coordinator supplies the inspected receipt or movement information for an approved stock request. The Warehouse Operator uses that evidence to identify the item, base unit and location involved in the physical operation. Lot release and expiry checks remain part of deciding whether the proposed effect is eligible.
Posting appends signed stock movements and records the operation result. On-hand is then read from posted movements, so the team can trace the quantity back to the physical evidence rather than relying on a manually maintained balance. The original source identity remains available when a request is retried or investigated.
How the work is organized
- Prepare the inspected scope. Confirm the approved request revision and the actual source reference. Check that the evidence identifies the correct item and location and that quantities are expressed in the intended base unit.
- Post the authorized effect. The receipt or movement action validates the operating scope and appends the resulting signed stock records. Keep the posted indicator and source effect reference available when inspecting the ledger.
- Inspect the persisted result. Read the operation receipt alongside the stock movements it identifies. An uncertain or failed result needs investigation before the team represents the physical scope as fully recorded.
What to agree during setup
Agree which inspection details the team must record and who confirms the source event. Define the operating meaning of the request’s location relationships and the evidence needed for a movement between sites. Retain dispatch and receiving evidence for transit cases so later reconciliation can identify what actually occurred.
Establish how repeated source messages are recognized. The same receipt or movement event should retain its operation identity when retried. If an external stock system is authoritative for part of the result, agree the connection and reference mapping before using it to confirm completion.
Check the handoff on an actual case
Prepare an approved request for an inspected receipt at a pilot warehouse. The Inventory Coordinator supplies the source evidence and the Warehouse Operator checks the item base unit, location and lot information. Post the authorized result and compare the resulting movement with the operation receipt and inspected quantity.
Repeat the source event during the rehearsal and confirm that it does not add another stock effect. Then inspect a movement between storage sites where dispatch evidence is available but receiving evidence still needs confirmation. Keep the recorded scope and unresolved result visible until the relevant evidence explains the effect. The team should be able to identify which physical event each posted movement represents.
What your team sees
- Stock Request Register — The complete request lifecycle with authorized scope and execution information.
- Posted Stock Movements — Posted receipt and movement effects with their source references.
- Operation Receipt Ledger — Unresolved operation results requiring evidence or follow-up.
Follow the work through
Rehearse inspected receipt and movement, then use correction and reconciliation when a physical effect needs to be explained or reversed.
