What you can do

Keep the claim separate from the physical issue

A stock reservation records the quantity claimed for a request, item, location and optional lot. Active identifies a current claim, while Released and Consumed describe how that claim was resolved. The Warehouse Operator checks the exact scope before using the reservation to support physical work.

The reservation operation calculates eligible free quantity from posted stock less active claims within that scope. Confirmed physical issue appends a negative movement and marks the reserved scope Consumed. The team can therefore explain both the original claim and the physical effect that used it.

How the work is organized

  • Review the approved request. Confirm the intended revision, item, location and base unit. Inspect lot release and expiry evidence where the item requires lot tracking before treating the quantity as eligible.
  • Create the guarded claim. Reserve against the free quantity supported by posted stock and existing active reservations. Preserve the operation identity so a repeated request can be traced to its recorded result.
  • Confirm the actual issue. Supply the physical issue evidence before consuming the reservation. Inspect the negative posted movement and resulting receipt, then confirm that the reserved scope was consumed only once.

What to agree during setup

Agree what constitutes confirmed physical issue for the warehouse process and which source reference identifies it. Establish how the operator selects the lot and how quantity is expressed in the item’s base unit. A request quantity alone does not demonstrate that stock has physically left the location.

Define the follow-up for a reservation that reaches its expiry or is no longer required. Release unused claims through the authorized procedure and retain the reason. Decide who investigates uncertain operation results so a retry does not become a second physical issue for the same source event.

Check the handoff on an actual case

Start with posted stock for a pilot item and an approved request at the same warehouse. Create an active reservation against eligible free quantity, then prepare another request that competes for the remaining stock. Confirm that the guarded allocation uses current claims when deciding whether the second quantity is available.

For the first request, record the confirmed physical issue and inspect its negative movement and consumed reservation. Repeat the same source operation during the rehearsal and verify the recorded result without accepting a duplicate issue. Include a separate unused claim that is released through the agreed path. The Inventory Reviewer should be able to distinguish consumption, release and an unresolved operation from the retained evidence.

What your team sees

  • Active Stock Reservations — Current claims with their request, item, location, lot and expiry information.
  • Posted Stock Movements — Physical stock effects recorded after the issue is confirmed.
  • Unresolved Operation Receipts — Reservation or issue attempts whose recorded outcome needs investigation.

Follow the work through

Follow reservation to confirmed issue and use correction and reconciliation for a disputed or unused claim.
