What you can do
Establish the scope before stock work begins
The Inventory Coordinator prepares a stock request with a recognizable number and subject. The request identifies its item, operating location and owner, together with the required date and requested quantity. The base unit gives the quantity its meaning when the reviewer compares it with stock and forecast evidence.
Draft, Review and Approved describe preparation and authorization. Executed records an evidenced operating outcome, while Rejected and Cancelled preserve decisions that stop or change the work. The request revision helps the team distinguish the scope originally submitted from a later correction.
How the work is organized
- Prepare the operating context. Select the item and locations within the correct organization. Check the item master and location eligibility note before recording the requested quantity and required date.
- Request explicit authorization. Move the prepared scope into review and identify the revision the Inventory Reviewer should decide. An approved forecast proposal can inform the request without replacing the separate authorization for its stock effects.
- Keep changes traceable. If scope changes before execution, use the correction or cancellation path. Executed work needs a reviewer-authorized compensating action that retains the original source identity and evidence.
What to agree during setup
Agree how the request’s operating location and counterparty location are interpreted for each type of work. Both identify storage locations, so their meaning must be established with the receipt or movement process the team will use. Do not rely on a location name to establish which physical effect has occurred.
Define the approval evidence needed for the requested quantity, including the relevant proposal and any inspection material. Agree who maintains the required date and how the owner communicates a change after review. Keep authorization tied to the current request revision, with the reason available to the next person handling the case.
Check the handoff on an actual case
Prepare a pilot request for a named item at an eligible warehouse. Record the base unit and quantity, then attach the forecast proposal and supporting evidence. Have the Inventory Reviewer explain the requested scope before approving it under the operating procedure.
Change the requested quantity during the rehearsal and check how the revised scope returns for authorization. Then examine an executed case that needs correction. The coordinator should be able to distinguish canceling unused scope from reversing a physical effect. Keep the original request and decision evidence so the Warehouse Operator can identify exactly which quantity and location the authorized follow-up concerns.
