What you can do
Separate stock custody from consumption
Goods can be physically present at a customer or partner site before ownership changes under a consignment agreement. Consignment Usage connects the used quantity to the parent stock request and organization. It records when the goods were used, the agreement reference and an owner reference. Its status runs through Draft, Submitted, Approved, Rejected and Completed, so the team can distinguish an entered use from an accepted one.
Inventory Coordinator prepares the usage record from a confirmed physical issue. Inventory Reviewer examines the submitted revision and related request before deciding. Keep the decision context with the parent request and identify the usage revision it concerns. The completed usage record is the evidence for a usage-based billing handoff. The billing arrangement itself should be agreed with the customer and connected to the system that issues invoices.
How the work is organized
- Preparation. The coordinator records the used date, consumed units, agreement reference and parent request.
- Decision. The reviewer checks the revision, stock action and supporting evidence before accepting consumption.
- Completion. The finished record keeps the quantity and decision context available for reporting and billing reconciliation.
What to agree during setup
Define when physical use is considered confirmed and which agreement reference the coordinator should enter. Agree whether an issue is recorded when stock leaves a location or when the counterparty confirms consumption. Those events can be different in a consignment arrangement. The usage record should reflect the event that the commercial agreement treats as consumption.
Agree which attachments support the confirmation and who may return or reject a submission. Reviewers need to compare used units with the reservation and posted stock movement without treating every movement as ownership transfer. Decide how the owner reference is used and which team checks that it matches the applicable agreement.
Check the handoff on an actual case
Select a request for an item held at a named site. Follow its active reservation and the signed movement for the physical issue. Record the used quantity and date in Draft usage, then submit that revision. Inventory Reviewer examines the agreement reference, linked request and evidence, and records the decision context with that request. If the submitted quantity is wrong, keep the reason for rejection and prepare a corrected revision.
After approval and completion, use the completed usage list to compare quantities by agreement and organization. The report should be traceable to each parent request. If a posted stock movement must be corrected, follow the linked compensating movement as well. That keeps consumption review and physical stock history aligned without erasing either event.
What your team sees
- Submitted usage — Consumption records waiting for an independent review.
- Completed usage — Used units, agreement references and parent requests ready for reconciliation.
