Network setup

Organizations, storage locations and team members define the network in which a request is prepared. The App Administrator maintains those reference records and checks that a transfer route uses the intended organization.

What you can do

Follow the operating record

Organizations carry the operating name, code, time zone and currency. Storage locations link to an organization and retain code, address, contact and eligibility note. Team members connect a person and role name to an organization and user account.

The App Administrator maintains these reference records so coordinators can select the right organization, item and location on each request. Active flags on organizations, locations, items and team members help the administrator maintain the working network as sites or assignments change.

Locations carry code, contact, address and an eligibility note. Team members link an organization to a user account and role name. Those links give the coordinator and reviewer a shared context for the same request.

How the work is organized

  • Maintain. App Administrator updates organizations, locations, items and team members.
  • Select. Inventory Coordinator uses the maintained references when preparing a request and route.
  • Check. Inventory Reviewer confirms the organization and locations on a submitted case.

What to agree during setup

Agree naming and coding rules for organizations and sites. Decide who maintains eligibility notes and how a location change is communicated to coordinators. Review member access when a person changes responsibility, and check existing requests before changing reference data.

Check the handoff on an actual case

Before piloting a transfer between two warehouses, the administrator confirms both locations belong to the expected organization, their codes are distinct, and the relevant team members have active records. The coordinator then prepares a request with those locations. A reviewer can read the same organizational context when checking the transfer.

If a site changes ownership or code, check open requests and transfers that still refer to the earlier location. Confirm that the team member linked to the request owner belongs to the right organization and that an Auditor can still read the historical trail.

For a new location, agree its code and organization before coordinators use it on requests. Review the contact and eligibility note with the site owner. When an operating member changes assignment, check the user link and the requests they still own so review work does not lose an accountable person.
