Reservations

A reservation claims quantity for a request at an exact item and location, with a lot when the item requires one. The Inventory Coordinator can inspect the claim and its expiry before treating that quantity as available to the request.

What you can do

Follow the operating record

A reservation links a request to an item and location with a quantity, expiry date and state. When the item is lot tracked, it can also point to the specific lot. This lets the coordinator see which demand already claims a portion of available stock.

The approved request supplies the reason for the claim. The reservation state distinguishes active claims from released or consumed ones. A receipt and resulting stock effects give the reviewer a way to check what happened when the claim was used.

Active, released and consumed are distinct reservation states. A released claim should no longer support the request; a consumed claim needs a matching posted effect before the team treats the operation as complete.

How the work is organized

  • Select scope. Inventory Coordinator checks the approved request, item, location and any lot release state.
  • Claim. Inventory Coordinator records quantity and expiry for the exact stock scope.
  • Close. Inventory Reviewer compares a consumed or released claim with the linked movement and receipt.

What to agree during setup

Agree how long claims may remain active, who handles expiry, and when a change of item or location requires a fresh review. Identify which lots are eligible before accepting a claim against them.

Check the handoff on an actual case

If a request needs units from a particular location, the coordinator checks the approved quantity and the available lot before creating an active reservation. When the operation posts, the claim can be consumed; if the request is cancelled before execution, it can be released. The same request reference remains visible in both cases.

For a lot-tracked item, inspect the lot release state and expiry before claiming quantity. Compare active claims for the same item and location so the request does not rely on quantity already reserved. After use, check the consumed state against a posted movement.

Before the claim is consumed, check whether the request changed or passed its required date. The reservation records its own expiry, so the team should decide whether an old claim remains useful. When the location or lot changes, create a claim for the new exact scope and keep the earlier state legible.

What your team sees

  • Active reservations — Shows current claims by request, item, location, lot and expiry.
  • Approved requests — Shows the approved demand behind each claim.
