What you can do
Carry the return identity into recovery work
A refurbishment job belongs to a stock request and an organization. It has its own status and revision, plus a return reference, recovered units and grade. The job can record when a decision was made and when work completed. This creates a place to track recovery work without losing the request that brought the item into the operation.
Inventory Coordinator can prepare a Draft job after the return is identified. A Submitted job gives Inventory Reviewer a defined case to assess. Approved and Rejected distinguish decisions; Completed marks the finished job. The eventual stock effect belongs in posted movements, with the source request retained. A job status by itself is not a substitute for the signed quantity effect.
How the work is organized
- Prepare. Link the parent request and organization, then record return reference, expected recovered units and grade.
- Decide. Inventory Reviewer assesses the submitted revision and records the decision time.
- Reconcile. Compare completed recovery with any posted stock movement and the operation receipt.
What to agree during setup
Decide how staff assign grades to refurbished stock and whether the grade is established before or after recovery. Define when recovered units become final and who is allowed to update them. Keep the return reference in the same format across requests and jobs so a reviewer can follow the lineage. Decide what evidence is required before a job moves from Submitted to Approved.
The team should define a controlled release step for recovered stock. The job’s source revision, parent request and posted movement should agree before quantity becomes available. If a release is blocked, staff need an exception owner and a way to inspect the receipt without counting the same recovered stock twice. Rejected work should remain in the history with its decision time.
Check the handoff on an actual case
Start with a reviewed request for returned equipment. Inventory Coordinator creates a job with the return reference and an initial grade. After inspection, the coordinator records the recoverable units and submits the job. Inventory Reviewer checks the job revision against the return evidence and decides whether to approve it. If the recovered units change, repeat review on the changed revision before treating the earlier decision as current.
For a finished job, inspect the completion time and look for the related posted movement under the parent request. Compare the movement quantity with recovered units. Inventory Reviewer also checks the operation receipt for the attempted release and its effect references. Auditor should be able to reconstruct the return identity, job decision and quantity effect from those records.
