What you can do
Orders and commitments
Buyer prepares an order against a supplier, ship-to location, department and cost center. Order lines retain item descriptions, quantity, unit price and need date. The approved revision is the reference for issuance and acknowledgement. An amendment records before and after line values when a quantity, price or delivery date changes. Procurement Manager handles price exceptions and signed agreements; Approver decides the applicable buying authority.
How the work is organized
- Fix the approved version. Keep the order revision and approver with the issued scope.
- Preserve changes. Use amendments for changed lines and commitments.
- Follow promises. Keep original and revised dates visible to the buyer.
For a recurring component, the team may use an active master agreement and a blanket release. Contract rates identify the supplier, item and validity window. A release reserves part of the agreement’s commitment and can generate a purchase order. The agreement’s total commitment and remaining amount should be reconciled with its releases and order allocations before another call-off is made. Delivery risk appears at the order line. An expediting case retains the original need date, revised promise, outstanding quantity and owner. When a supplier promises a later date, Buyer can follow up without rewriting the original commitment. Signed commitment allocations and procurement events give Controller an evidence trail for approved orders, amendments and reversals.
What to agree during setup
Agree approval tiers, buyer limits and who can approve a price override. Set the release policy for active agreements and contract rates. Decide when suppliers acknowledge a revised order and how buyer follow-up is assigned. Choose the connected budgeting destination for commitment evidence. The supplier acknowledgement tied to a purchase request stays with request review; the order tracks its own acknowledged revision and date.
Check the handoff on an actual case
Create an order for a recurring part under an active agreement. Compare its rate and released quantity with the remaining commitment. Have a different approver decide the order, then record the acknowledged order revision. Change the need date through an amendment and inspect the prior revision, approval identity, allocation and original promised date.
What your team sees
- Orders awaiting approval — Order revisions waiting for an approver decision.
- Active expediting — Open delivery follow-up with original and revised promises.
Follow the work through
Start with the request and review path, then check the supplier delivery path. Review implementation choices with the owners before the first operating cycle.
What it keeps track of
Data model- Purchase orders
- Supplier order with immutable approved revisions.
- PO line items
- Per-item lines on a PO, the level at which receipts and invoice match reconcile.
- PO amendments
- A reviewed change to an issued or approved PO revision.
- PO amendment lines
- Per-line before and after on an amendment.
- Master agreements
- Umbrella contracts with one supplier authorising a total commitment, called off by blanket releases.
- Blanket releases
- Call-offs against a Master Agreement umbrella that draw down Total Commit.
- Blanket release lines
- The items called off on a release, each priced at a contract rate under the agreement.
- Contract rates
- Negotiated Supplier x Item prices valid for a date window.
- Commitment allocations
- Immutable signed effects of a business event on a PO line and its funding authority.
- Expediting
- The expediting worklist: open PO lines past Need By Date or inside the warning window.
- Procurement events
- Durable once-only business event and migration provenance.
Who uses it
Permissions- Buyer
- Prepares orders and follows delivery.
- Approver
- Decides the order.
- Procurement Manager
- Handles agreements and exceptions.
- Controller
- Reconciles commitments.
- When the supplier proposes a change, Buyer checks the current order revision before preparing an amendment.
- Controller
- Reads the signed effect against that same revision so a changed price or quantity is not mistaken for a new, unrelated commitment.
