What you can do
Purchase requests and review
A requester opens a purchase request with a subject, required date, amount, organization and supplier counterparty. The request remains the anchor for its line detail, attachments, reviewer decisions and supplier acknowledgements. A buyer can read the same story without treating a supplier reply as approval to spend. The Operations Overview gives authorized staff a place to inspect commitment, receipt and exception position for these requests.
How the work is organized
- Capture the need. Record requested line quantities and the date the business needs the goods or service.
- Keep decisions separate. Review decisions retain the reviewer, reason and source revision.
- Compare the supplier reply. Confirmed units and an ASN reference stay on the acknowledgement.
Consider a replacement part needed next month. The requester records the quantity and estimated price on the request lines, attaches the supporting evidence and submits the request. An approver reads the frozen source revision and records a decision with a reason. The buyer can then see which need passed review, which version was decided and which supplier response refers to the request. If the supplier proposes fewer units, the acknowledgement remains visible for buyer review; it does not rewrite the requested quantity. Keep each revision meaningful. A later change to the amount or date calls for a fresh decision on the changed request. An operation receipt ties a guarded action to its result, so a repeated click can be investigated against the same parent. Shared evidence should be marked for the intended audience; internal attachments should remain with the internal team.
What to agree during setup
Agree who may submit requests, who may review them independently and which organization each role may see. Decide when a changed request requires another decision. Set the evidence types that requesters should attach and who can see shared files. Define how buyers handle a supplier change request before an order is revised.
Check the handoff on an actual case
Use a part requested for an office site. Submit the request, record an approval by a different team member, then add an acknowledgement with a smaller confirmed quantity. Check that the original request line, reviewer reason and acknowledgement all remain visible. Repeat the same guarded action and inspect its operation receipt before accepting any second effect.
What your team sees
- Requests awaiting review — Requests waiting for an independent decision, with amount and required date.
- Supplier acknowledgement queue — Supplier confirmations and change requests awaiting buyer attention.
Follow the work through
Start with the request and review path, then check the supplier delivery path. Review implementation choices with the owners before the first operating cycle.
