What you can do
Keep acceptance tied to the purchased line
Receiving Officer records the actual accepted quantity and accepted date for the selected purchase line. The parent request supplies the supplier and approved commercial context. This keeps the receiving observation connected to the commitment it concerns, rather than treating an order reference alone as proof that the material arrived.
Requested and accepted quantities remain distinct. A request for a batch can have a smaller accepted quantity when the physical delivery or acceptance decision covers only part of the scope. Invoice matching must use the eligible accepted portion, and the supplier assessment must use the evidence appropriate to its agreed performance measure.
The receipt action rejects over-receipt unless an authorized change is supplied. Receiving Officer therefore needs to identify the original requested quantity and the permitted change when an actual acceptance would exceed it. A later correction should preserve the earlier evidence and follow the authorized scope process.
How the work is organized
- Line selection. Receiving Officer identifies the actual parent request and line before recording acceptance. The item description and quantity basis must match the physical scope being accepted.
- Actual observation. Accepted quantity and date describe what was accepted. They do not automatically establish that every line on the request has been fulfilled or that an invoice is ready for payment.
- Controlled limits. The guarded action checks over-receipt against the authorized scope. A changed requirement needs its supporting authorization before the additional accepted quantity can proceed.
What to agree during setup
Agree what a quantity means for each item and how the receiving team checks it against the supporting documents. Keep the same basis between requested and accepted quantities. A package count and a count of individual pieces cannot be compared without a clear agreed interpretation.
Decide who authorizes a change when the supplier delivers beyond the original request. Name the evidence used to support the accepted date and amount. If warehouse posting is required, configure that external handoff with its responsible owner; the accepted line record remains the purchasing evidence used by the next process.
Check the handoff on an actual case
Rehearse a request for 100 components with 80 actually accepted. Receiving Officer records the accepted quantity and date against the correct line. Finance Officer should be able to identify the accepted portion without treating the remaining requested quantity as received material.
Try recording 110 accepted components against the unchanged request. The action must reject the excess unless the authorized change is supplied. Then rehearse a properly authorized change and inspect how the original scope and later acceptance remain traceable.
Supplier Analyst reads the accepted evidence when preparing the assessment. The analyst must retain the measure’s actual basis rather than turn a partial physical receipt into a claim about supplier quality without supporting evidence. Any discrepancy between the receipt action and its stored effect belongs in the operation investigation path.
What your team sees
- Accepted Scope — Lines with positive accepted quantities, showing their requested quantity and acceptance date.
- Open Commitments — Parent requests that provide the supplier and order context.
- Receipt Exceptions — Operation results that need investigation before their effect is trusted.
Follow the work through
Follow accept receipt and match invoice and correct authorized scope when accepted work needs correction.
What it keeps track of
