What you can do
Give every material issue a stock context
Production Operator prepares a material issue for a work order with the item, lot, quantity and issue date. The issue begins in Draft. Posting validates the work order’s state, the item and unit match, and the free stock available for the issue. Successful posting moves the issue to Posted and decrements the exact balance once.
Inventory balances show on-hand and reserved quantities by item, location and lot. Production Planner uses this context to discuss whether material is ready before the floor starts work. The operator needs to identify the stock that will actually feed the job, especially when the same item exists in different lots or storage locations.
How the work is organized
- Item and unit. Use the material’s item record and its agreed unit. A quantity only has meaning when the issuing team and the production team are counting the same thing.
- Exact balance. Compare the selected item and lot with its stock location and reservation position. The posting must resolve the intended balance before it changes available stock.
- Posting outcome. Keep Draft work separate from Posted issues. Review the returned result after submission so a retry does not turn an uncertain screen response into an extra physical issue.
What to agree during setup
Agree the stock locations and lot naming that operators will recognize. Load opening quantities with their reservations and review them with Production Planner before allowing live issues. Explain how the issuing action identifies a specific balance when an item and lot appear in more than one location. That choice belongs in the issuing procedure and connection setup.
Decide how the team handles a mistaken quantity or unused material. The issue record includes Reversed as a status, so the correction procedure must explain who may use it and what stock effect follows. Rehearse that procedure before routine use. Keep posted records available for review when a planner needs to explain a difference between what was planned and what was physically consumed.
Check the handoff on an actual case
Take a Released bracket work order and a material lot with 80 units on hand and 20 reserved. Production Operator prepares an issue for 70 units. The free balance cannot cover that request, so posting should stop with the issue still available for correction. The operator changes the request to 50 units after confirming the intended physical pick with Production Planner.
Post the corrected issue and compare the exact item, location and lot balance before and after. Submit the same posting again and confirm that stock is not decremented a second time. Repeat with an incompatible unit choice and with an ambiguous location selection. Resolve each problem before accepting the handoff. This rehearsal should leave the team able to distinguish an insufficient balance from a record-selection problem.
What your team sees
- Material Issue Queue — Draft material requests waiting for a valid posting to their work order.
- Stock by Lot — Positive on-hand balances with location and reserved quantities visible.
- Posted Material Issues — Posted quantities and lots that explain material already issued to production.
