Prepare program work with your assistant

Prepare program work and explain its evidence while responsible staff retain eligibility and funding decisions.

It can

  • Program Manager: Show the owned program plan and due work, then summarize the milestone evidence for the next review.
  • Funding Reviewer: Present the award amount, linked program and restrictions so I can make the funding decision.
  • Case Worker: Organize the assessment context and criteria version for review under our agreed process.
  • Benefits Officer: Show the eligible assessment, prepared amount and payment reference needed for the next benefit handoff.

Stays with a person

  • The assistant cannot decide a person's benefit entitlement or replace the responsible staff member's funding or benefit approval.
  • It must use authorized access and the organization's agreed criteria and evidence process.
  • It cannot infer payment settlement from a nonempty reference, fill an unprepared benefit amount with an invented value or publish a percentage when the denominator is missing or zero.
  • Repeated processing should inspect the existing assessment-linked benefit and standard kickoff work before creating another record.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree the program scope

Identify the owner, operating dates, budget and funding restrictions. Assign the people responsible for assessments, benefits, expenses and outcome evidence.

  2. Establish identities and access

Configure staff-to-user references and the operating roles. Check access to applicant records and attachments as well as the shared program context.

  3. Rehearse funding activation

Approve an award, inspect the Active program and check the standard kickoff activities and milestones. Repeat processing and inspect existing work for duplicates.

  4. Rehearse eligible capture

Use the agreed criteria version and a known assessment date. Inspect the planned benefit due 30 days later, confirm its amount is empty and verify repeat handling for the same assessment.

  5. Rehearse benefit progression

Prepare the amount, approve only against an Eligible assessment and test the required reference at Sent and Confirmed. Inspect external payment evidence through the separately configured process.

FAQ

Questions, answered

Scope, rollout and pricing for Social Welfare Scheme Mgmt.

All questions
How do I get started?

Click Get started, then use Proto to configure Social Welfare Scheme Mgmt for your business. Begin with a funded program, its owner and a case team using an agreed criteria version. Rehearse an eligible assessment, its planned benefit and the payment-reference handoff before expanding.

What happens when a funding award is approved?

The action validates the linked program and award amount, activates the program and creates standard kickoff activities and milestones. Program Manager inspects their ownership and evidence expectations. Repeated processing recognizes the standard names.

Who decides eligibility?

Case Worker applies the organization's agreed assessment criteria and records the supported outcome with its criteria version. The capture action validates the program and permitted state handling; staff remain responsible for the assessment process.

What creates the planned benefit?

Capturing an Eligible assessment creates a linked Planned benefit due 30 days after the assessment date. Its amount remains empty for authorized preparation. Repeating equivalent processing for the same assessment must not create another planned benefit.

Can a benefit be approved against an ineligible assessment?

Approval requires the linked assessment to be Eligible. Benefits Officer checks that context before moving Planned work to Approved.

What is required for Sent or Confirmed?

Both states require a nonempty payment reference. Agree the separate payment process and inspect its actual confirmation evidence before recording the corresponding progress. The status action leaves the amount unchanged.

Does expense verification mark an expense Paid?

No. The verification checks a positive amount, present category and Active program, then produces Approved or Rejected. Paid requires the separate externally confirmed payment event.

What happens when a result has no denominator?

A missing or zero denominator makes the ratio unavailable. Keep the underlying inputs and evidence, and do not publish an impact or percentage derived from that invalid basis.

How are appeals followed?

Case Worker reviews Appealed Assessments with the program and criteria version that informed the original decision. The case team handles the appeal under its agreed procedure; the appeal alone does not authorize a benefit.

Who follows assigned program activities?

Program Manager reviews My Activities against the signed-in staff identity, due dates and completion dates. For a milestone that appears due, check its completion date and evidence before treating it as unfinished.
