What you can do
Know who is certified for each treatment
Some treatments need a specific certification: prenatal massage, hot stone, lymphatic drainage or advanced skin treatments. Each qualification records the therapist, the treatment type, the certificate file and the expiry date. It is recorded under the signed-in person’s own user, and impossible dates or repeated entries are refused.
The certificate is kept as filed. A renewal is a new qualification record, so the earlier certificate still shows what was valid on past treatment dates.
How the work is organized
- Qualifications by treatment type. One record per therapist and treatment type.
- Certificates on file. The certificate is attached to the record it supports.
- Expiry watched ahead. The Spa Manager sees certifications nearing expiry.
What to agree during setup
List the treatments that need certification and what counts as valid evidence. Decide how far ahead of expiry renewals start and who chases them. Agree whether a therapist with an expired certificate may still be scheduled for that treatment.
Check the handoff on an actual case
A therapist completes a prenatal massage course in March. She uploads the certificate, chooses prenatal massage as the treatment type and enters an expiry two years out. The Spa Manager checks the file and starts scheduling her for prenatal sessions.
Twenty-two months later the record appears among qualifications expiring soon. The manager reminds her, she completes the refresher and records a new qualification. The original stays on file as evidence for the treatments she gave under it.
During the pilot, load every therapist’s current certificates and check that each treatment needing certification has at least one qualified therapist on the schedule.
Qualifications also help the front desk. When a guest asks for a prenatal massage or a hot stone treatment, the coordinator can see which therapists hold a current certificate for it before offering a time, and the manager can plan training so that popular treatments always have more than one qualified therapist.
