What you can do

Build the day from the treatment menu

Every treatment and class the spa offers is a service: a sixty-minute deep tissue massage, a ninety-minute facial, a couples’ ritual or a morning yoga class. Each service has a name, duration in minutes, capacity, price and an active flag. A session is one delivery of a service at a set start and end time with the therapist who delivers it and its capacity, which is one for most treatments, two for a couples’ room and more for a class.

The Spa Manager owns the schedule. A session is Planned while the room and therapist are agreed, Open when it takes bookings, Full when its places are taken and Completed after the treatment, once every booking is accounted for. A session that cannot run is Cancelled.

How the work is organized

  • Menu first. Agree treatments, durations and prices before scheduling sessions; clear the active flag to stop selling one.
  • One therapist per session. Each session names the therapist, who sees it on their own list.
  • Capacity by room. Single rooms, couples’ rooms and class studios set different limits.

What to agree during setup

Bring the treatment menu with prices, the therapist roster and room capacities. Agree buffer time between treatments for room turnover. Decide who opens and cancels sessions and how guests are told about a cancellation. Link each therapist to a platform user.

Check the handoff on an actual case

On Monday the Spa Manager opens Saturday’s schedule. A senior therapist has a 10:00 to 11:00 hot stone massage, a 11:15 to 12:45 signature facial and an afternoon of couples’ massages with a second therapist. Each is a session with its service, times and capacity.

By Thursday the 10:00 massage is booked and shows Full. When the front desk tries to add a 10:30 aromatherapy session for the same therapist, the overlap is refused at confirmation, because the therapist is already committed. The manager offers the guest another therapist at 10:30 instead.

During the pilot, open a full Saturday schedule and check that every treatment length, buffer and room capacity matches how the spa really works. Ask each therapist to confirm their own list before the day opens.
