What you can do

Know who is on each team today

A roster entry links a person to a team with a role, such as player, captain, assistant coach or team manager, and the dates they joined and left. Everyone is held once in the people registry with their role title, active flag and platform user, so a person who coaches one team and plays for another appears in both rosters without duplicate records.

Current rosters are the entries with no leave date. When a player transfers, the coach sets the leave date on the old team and the new team’s coach adds a new entry, so history stays intact.

How the work is organized

  • One person, many roles. The same person can be a player on one team and a coach on another.
  • Join and leave dates. Roster history shows who was eligible on any match day.
  • Coach-maintained. Each coach keeps their own roster.

What to agree during setup

Agree the roster roles you use and any limits, such as a minimum and maximum roster size. Decide the transfer window and who approves mid-season transfers. Load the people registry before rosters so nobody is entered twice.

Check the handoff on an actual case

A striker moves from the Eastside Rovers to the Harbor FC in mid-April. The Rovers coach sets her leave date to 14 April on their roster. The Harbor coach adds her with a join date of 15 April and the role of player.

When a dispute arises over the Rovers’ 12 April match, the Competition Secretary checks the roster history and confirms she was eligible for the Rovers that day. For Harbor’s 20 April match she is on the current roster.

During the pilot, have each coach review their current roster against their own list and close any entries for people who have left. Check that a person who appears on two teams holds different roles, and that nobody appears twice in the people registry.

What your team sees

  • Teams by Status — Teams and their coaches, for checking roster readiness.
