What you can do

Recognize what learners achieve

An achievement records what a learner earned in an activity group: “Most Improved Player”, “Regional finalist, 100 m backstroke”, “First place, robotics design challenge”. Each carries the award date and an evidence file, such as a certificate, a results sheet or a photo. The coach submits it against the learner and the group, it is checked against the real learner and group, and the Activities Coordinator confirms it.

If an achievement needs correcting, for example a wrong placing, the correction adds successor evidence and keeps the original, so the record shows what changed and why.

Achievements are also how competition results reach the school’s own record. Fixtures and results live in your league or meet system; when a learner places, wins an award or sets a personal best, the coach records it here against the group with the official sheet attached. End-of-term reports and awards evenings then draw from confirmed achievements only.

How the work is organized

  • Achievement per learner and group. Each award names the learner and the activity group it was earned in.
  • Evidence attached. Certificates and result sheets are attached to the award.
  • Confirmed by the coordinator. Submitted achievements are confirmed before they are celebrated or reported.

What to agree during setup

Agree the kinds of achievements you record, such as team awards, competition placings and personal bests. Agree what evidence is required for each. Agree who confirms achievements and how quickly. Agree how corrections are handled and communicated to families.

Check the handoff on an actual case

At the regional swim meet on November 2, a swimmer places second in the 100 m backstroke. The coach submits the achievement “Regional 100 m backstroke, 2nd” for the swimmer in the Fall 2026 swim group, with the official results sheet as evidence. The coordinator checks the sheet and confirms it.

A week later the meet organizers correct the results; the swimmer actually placed first after a disqualification. The coach submits a correction with the revised results sheet. The original achievement and its evidence stay on record, and the corrected placing is confirmed alongside it.

Rehearse this before go-live: submit an achievement with evidence, confirm it, then correct it and check both versions of the evidence remain.
