What you can do

Give Controller a payment trail to reconcile

Year-end preparation starts with the subcontractor’s recorded classification and payment history. Annual tracking keeps the tax year and total paid beside the company, along with the form requirement and generated-form reference. Controller can review the annual position without losing the connection to the recipient who performed the work.

The form record carries the recipient’s legal name, tax identifier and address, plus the gross paid amount and any backup withholding recorded for the form. Issued and Filed are separate stages. Agree the tax-year policy during setup and use the connected filing process to establish the actual filing outcome.

How the work is organized

  • Annual payment basis. The year-end job builds annual tracking from paid applications and applied backcharges. Review the included population and deduction treatment against the accounting record before relying on the total.
  • Recipient preparation. Company classification and W-9 information support review of the recipient details. The stored-data TIN check marks a match or mismatch and records the backup-withholding flag when a mismatch is found.
  • Form follow-up. Tracking links to a form record and records generation and filing dates. The form retains its status and file location. Controller checks that the recipient, year and amounts agree before recording the next outcome.

What to agree during setup

Controller establishes the year under review and confirms the generation policy with the team’s tax adviser. Include companies with payments in that year even if procurement has since marked them Inactive or Suspended; review their classification under the agreed recipient policy. Decide how corrected company details reach a prepared form and how an amendment will be reviewed. Restrict access to recipient tax identifiers and addresses before importing real records.

Set up the filing provider connection and agree how its outcome is reconciled. Keep a separate owner for resolving a rejected or corrected recipient record. The annual tracking view should make it possible to identify a generated form that still needs issuing or filing follow-up without treating its creation date as completion.

Check the handoff on an actual case

A subcontractor has paid applications across several projects in the same tax year. Controller follows the annual tracking record back to those payments, checking that the recorded payment dates fall within the intended period. An applied backcharge needs particular attention: the team checks its treatment in the year-end calculation against how the original payment was recorded.

Next, Controller compares the generated recipient details with the accepted W-9. If the company corrected its legal name during the year, review the form record before issuing it. Keep the form linked to the correct company and year while the correction is completed.

Finally, rehearse the external handoff. Record Issued when the issuing outcome is confirmed and Filed after the filing outcome is known. A later correction can be tracked as Amended with its supporting file. Run the annual job again in a test cycle and review the existing company-year records before accepting the repeat result.

What your team sees

  • Annual Payment Tracking — Annual amounts and form references identify recipients that need preparation or filing follow-up.
  • Ready for Payment — Claims awaiting payment help explain amounts that have not entered the paid population.
