What you can do
Record who got in the water
Attendance is the record that a confirmed booking was delivered. The instructor checks each swimmer in at the poolside, and the check-in records the time and the staff member who recorded it. The booking moves from Confirmed to Attended, and one session is used from the member’s plan.
Each confirmed booking gets exactly one attendance record. A swimmer who does not arrive is marked no show, and cancellations stay Cancelled; neither uses a session from the plan through check-in. When every booking on the session is Attended or no show, the session is marked Completed.
How the work is organized
- Check-in from the confirmed list. The instructor works from the session’s confirmed bookings.
- One check-in per booking. A second tap on the same swimmer does not use another session.
- No-shows before close. Missing swimmers are marked so the session can be completed.
What to agree during setup
Agree who checks swimmers in: the instructor, the lifeguard or the desk. Decide how late arrivals for lessons are handled. Agree what a no-show costs under each plan. Test check-in on the poolside device and make sure it works with wet hands and gloves.
Check the handoff on an actual case
Eight children are booked into the Thursday 17:00 intermediate lesson. At 16:55 the instructor opens the confirmed list on the poolside tablet and checks in seven children as they line up. Each check-in records her name and the time. One child is absent, and at 17:05 she marks him no show.
Every booking is accounted for, so the session is marked Completed. The parent of the absent child calls the next day to say he was ill; the front desk notes it and applies the school’s illness policy.
During the pilot, have each instructor run a full lesson week on the poolside device. Check that every confirmed booking ends as Attended or no show, that no swimmer uses two sessions from one check-in, and that completed sessions match the register the instructors keep today.
