What you can do

Build the pool timetable from services

Everything the pool sells starts as a service: beginner lessons, stroke clinics, aqua aerobics, squad training and lane hire. Each service has a name, length in minutes, standard capacity, price and an active flag. A session is one delivery of a service at a set start and end time, with the instructor who runs it and its own capacity.

The Aquatics Manager owns the timetable. A session is Planned while the instructor and pool time are confirmed, Open once it takes bookings, Full when its places are used and Completed after it has run and every booking is accounted for. A session that cannot run, for example after a failed water check, is Cancelled.

How the work is organized

  • Services first. Agree the catalogue with prices and durations before sessions are scheduled. Clear the active flag to stop selling a service.
  • Capacity per session. A lesson in the teaching pool and lane hire in the main pool can share a service but need different limits.
  • Instructor on every session. Each session names the instructor, who sees it on their own list.

What to agree during setup

Bring the current timetable, the service list with prices and the capacity of each pool and lane set. Agree instructor-to-swimmer ratios for each lesson level. Decide who opens and cancels sessions and how much notice members get. Link every instructor to a platform user.

Check the handoff on an actual case

The Aquatics Manager schedules a Saturday 9:00 beginner lesson in the teaching pool, 30 minutes long, capacity 6 for a one-to-six ratio, with a qualified instructor. She opens it on Monday. By Wednesday the front desk has confirmed six places, so the session shows Full.

On Saturday at 7:30 the morning water check returns Close for the teaching pool. The manager cancels the 9:00 session, the front desk cancels the six bookings and the refunds go to accounts for approval. The instructor sees the cancellation on her own list before she leaves home.
