What you can do

Confirm only what you can deliver

A booking records which member wants which session, how many places and when they booked, with a booking reference. It starts as requested. It is confirmed only when three things are true: the member is active, the session is open and the places requested still fit in the session’s remaining capacity. A booking can also end as cancelled or as a no-show.

When the member arrives, the instructor checks them in. Exactly one attendance record is written with the check-in time and who recorded it, and the booking moves to attended. If the check-in is sent twice, no second attendance is created. Checking in also updates the member’s active plan, so allowances stay accurate.

How the work is organized

The front desk takes bookings; instructors check members in.

  • Active members only. Paused or expired members cannot be confirmed.
  • Within capacity. Confirmation stops when places run out.
  • One check-in. Attendance is recorded once per booking.

What to agree during setup

Agree how members book (front desk, phone or online) and who confirms. Agree your no-show and cancellation rules and when a booking counts as a no-show. Prepare examples of a normal booking, a booking by a paused member, a booking that does not fit and a double check-in.

Check the handoff on an actual case

A member with a paused plan tries to book a Saturday session. The booking stays requested because the member is not active; the front desk reactivates the plan with the member’s agreement and the booking is confirmed. On Saturday the instructor checks her in at 10:05. A second tap on the tablet does nothing, because the attendance for that booking already exists.

At the end of each day, bookings still confirmed for sessions that have finished show up clearly, so the front desk can mark genuine no-shows under the salon’s rule rather than leaving them open.
