What you can do

One record per member, with everything that matters

Each member has a member number, name, email, the date they joined and a status: active, paused, expired or closed. Only active members can have bookings confirmed. That is why status matters: a paused member keeps their history, plans and exposure log, but cannot book until they are active again.

The member record ties together everything the salon knows about them: their membership enrolments, bookings and attendance, exposure plan and logged sessions, and payments. When a member asks how many sessions they have left or when they last tanned, the answer is on their record.

How the work is organized

The front desk keeps member records current; instructors read them before sessions.

  • Status controls booking. Only active members can be confirmed.
  • History kept. Paused and closed members keep their records.
  • One member, one record. Returning members are found, not created again.

What to agree during setup

Agree how members are identified (member number, email or both) and who can pause or close a membership. Agree how long closed members’ records are kept. Prepare examples of a new member, a member pausing for a holiday, a returning member and a member closing their account.

Check the handoff on an actual case

A member pauses her membership for a three-week holiday. Her status changes to paused and any booking she tries to make stays unconfirmed. When she returns, the front desk sets her back to active. Her exposure plan, previous sessions and remaining allowance are all still on her record.

If the same person signs up again with a new email address a year later, the front desk searches by name and member number first. The returning member gets their old record back, with their exposure plan and history, instead of starting again as a stranger whose skin type nobody has assessed.

When a member closes their account, their record stays in the history for the salon’s retention period, so past sessions and payments can still be explained.
