What you can do
Change plans without losing the record
Clients reschedule, artists fall ill, people do not turn up. A cancellation is checked against the studio’s cancellation policy and the actual timing, and releases the station time held for it. A no-show is recorded only once the threshold after the start has passed, so a client running ten minutes late is not marked absent. Completed sessions keep their history.
Corrections follow one rule. Anything not yet done is cancelled and its station claims released. Anything already done needs a compensating action, such as a free touch-up appointment, confirmed by a Booking Supervisor. Records are never deleted.
Each guarded action, such as a hold, a confirmation, a cancellation or a correction, leaves an operation receipt with its operation key, action, expected revision and result: Pending, Completed, Failed or needs review. The Studio Manager reconciles pending and failed receipts against the station claims, payment events and appointment revision they name.
How the work is organized
- Cancel under policy. Cancellations respect the policy and timing and release station time.
- No-show after the threshold. A no-show is recorded only once the threshold has passed.
- Receipts reconciled. Receipts are closed only when their effects match.
What to agree during setup
Agree the cancellation windows and what happens to the deposit in each. Agree the no-show threshold, such as 30 minutes after the start. Agree who reconciles receipts and how often. Agree what counts as a compensating action and who may approve it.
Check the handoff on an actual case
A client cancels a confirmed appointment five days ahead, inside the refund window. The coordinator cancels it; the station time is released and the deposit refund is recorded. The receipt shows Completed.
Another client does not arrive for a 10:00 session. At 10:15 the coordinator tries to record a no-show and it is refused; at 10:31 it is accepted and the station is released for a walk-in. That evening the Studio Manager finds a confirmation receipt at Pending after a dropped connection; the appointment shows Confirmed with its deposit, so the receipt is marked Completed.
