What you can do
Follow the employee and the work
HR Business Partner tracks reviews by cycle, subject and reviewer; goals keep their own due dates and progress. L&D Admin follows course enrollments and durable training records for each employee. A training record’s completion and expiration dates make an approaching credential expiry visible without treating a course enrollment as proof of completion.
For a telecommunications team, a field technician may move between service locations, a network engineer may cover an on-call week, and NOC staff may need a dated training record. Use the employee identifier and the linked records to separate these cases. The status points to the next action; the date and owner explain which case it belongs to.
How the work is organized
- Check the source. HR Business Partner checks each review’s cycle, subject, reviewer and status before releasing it.
- Keep the dated trail. Goals have their own due date and progress; compare them with the review without merging the records.
- Review the handoff. L&D Admin checks a course enrollment and completion evidence before updating the employee’s training record.
What to agree during setup
Agree review dates and who may see each assessment. Rehearse a network engineer’s review alongside a safety course whose training record approaches expiration. HR Business Partner checks the cycle and reviewer; L&D Admin checks completion evidence and the expiration date. Keep an enrollment and a training record distinct when the course has not been completed.
Use the configured permissions to rehearse access with the record owner and a second person who has read access. Confirm that sensitive employee or pay details are visible only to the people responsible for the work. Write down the evidence the reviewer must check before recording a decision.
Check the handoff on an actual case
Consider this case: a network engineer has a review due while a safety credential is approaching expiry. HR Business Partner finds the performance reviews row for the current cycle; L&D Admin checks training records and course enrollments for the employee. The review and credential retain separate dates and statuses. The team opens the linked records and checks that the employee, date, status and owner agree. If a field changes after review, the responsible person revisits the decision and explains the correction on the relevant record.
Ask another permitted role to open the same case and identify the employee, date, owner and current status. Rehearse an incorrect reference or a record still waiting for review. The responsible owner corrects the record before the next handoff.
