What you can do
Plan the consult and close it on the provider's record
Once a request is authorized, the Care Coordinator schedules it and records the consultation session: the provider who will see the patient, the start date and the planned duration in minutes. The session belongs to the request and its organization. The consult itself happens in your telehealth video service.
After the consult, the provider attests what took place, and the session is submitted for close. The Clinical Reviewer checks the submitted revision, provider, timing, duration and encounter reference against verified evidence and approves the close, with the decision date recorded. A session that does not match the evidence is rejected and stays open for correction. Sessions move through Draft, Submitted, Approved or Rejected, and Completed.
How the work is organized
- Schedule from authorization. Only an authorized request is scheduled. The request then shows as Scheduled.
- Provider attests. The session is submitted with the provider’s attestation of what happened.
- Reviewer closes. The reviewer approves the close only when the session matches verified evidence.
What to agree during setup
Agree standard durations by consult type, for example 20 minutes for follow-ups and 45 for new patients. Agree how providers are named on sessions, matching the provider organization’s own list. Agree how no-shows and early endings are recorded by the provider. Decide how far ahead sessions are scheduled and who reschedules them.
Check the handoff on an actual case
The authorized dermatology request has two units. The coordinator schedules the first session with the named dermatologist on June 4, 30 minutes. The request moves to Scheduled. After the consult, the dermatologist’s encounter record shows a 25-minute consult on June 4. The session is submitted, the reviewer checks it against the verified encounter evidence and approves the close.
The second session is scheduled for June 18. The patient joins late, the consult runs 10 minutes and the provider records that. The reviewer approves that close too, since it matches the encounter. Had the session been submitted with the wrong provider, the reviewer would have rejected it until corrected.
Rehearse a normal session, a short session and a session submitted with the wrong provider. Check that the first two close against their encounter evidence and the third is rejected until it is corrected.
