What you can do
Plan the course before you place it
Every slot belongs to a course. The course catalog holds each course’s code, name, capacity, start and end of its delivery window, its instructor and its status: Planned, Open, Active, Completed or Cancelled. The Timetable Coordinator plans courses before the term, opens them for enrollment, and closes them when teaching ends.
Class sessions are the individual classes a course delivers: each with its start, end and room. Sessions are scheduled from the published timetable and marked Delivered when they take place or Cancelled when they do not. Attendance is recorded against the session, so a cancelled class does not count as an absence.
How the work is organized
- Plan, open, run. Courses start as Planned, open for enrollment, become Active when teaching starts and Completed when it ends.
- Capacity on the course. The course capacity limits how many learners can be enrolled and is checked against room size.
- Sessions from the timetable. Each published slot becomes scheduled sessions, delivered or cancelled on the day.
What to agree during setup
Agree course codes and how capacity is set: by room size, by instructor ratio or by policy. Agree the delivery window for each term. Decide who opens a course for enrollment and who may cancel it. Agree how a cancelled session is made up, and who records it.
Check the handoff on an actual case
The coordinator plans Data Analysis 101 for the spring term: capacity 20, February 3 to May 16, taught by a named instructor. She opens it for enrollment in January. After its slot is published, sessions are scheduled for each Monday from 11:30 to 13:00 in Lab 2.
On March 17 the instructor is ill and the session is Cancelled. No attendance is recorded for it. The coordinator schedules a make-up session on March 21 in Lab 4, which is free, and the instructor records attendance there. At the end of the term the course is marked Completed.
