Who it's for

Multi-depot fleet teams

Fleet teams working across depots need a common way to identify tires and explain maintenance decisions. A serial can appear in observations prepared by different shifts, while vehicle assignments and responsible staff change. Agree how each depot maps to the operating organization and how teams exchange evidence before opening shared work.

How Tire Management is set up for you

Use consistent identity conventions

Fleet Coordinator agrees vehicle codes with the fleet register. Tire Inspector uses the same serial and position conventions across participating teams. Preserve dated observations when a tire later appears at another position.

Name the independent reviewer

Maintenance Reviewer needs enough context to decide without relying on the preparer's memory. Include the relevant tire, submitted revision and supporting file in the handoff. An absent reviewer should lead to a named substitute with appropriate authority.

Keep access deliberate

Admin maps user identities to team membership and agrees the organization's access boundary. Review which attachments are Internal or Shared before another team or transport partner receives them. Staff changes should leave earlier evidence attributable to the person who recorded it.

Fleet teams working across depots need a common way to identify tires and explain maintenance decisions. A serial can appear in observations prepared by different shifts, while vehicle assignments and responsible staff change. Agree how each depot maps to the operating organization and how teams exchange evidence before opening shared work.

Start with an operating team that can reconcile its own vehicle assignments and maintenance evidence. Establish the time zone used for inspections and delivery commitments, then check how another depot reads those dates. Rehearse an inspection prepared before a shift change and decided after it.

Next, transfer responsibility for an open load while retaining the original inspection and uploader. Ask the receiving team to explain the tire identity, relevant assignment and outstanding decision from the records alone. Include a restricted user in the access rehearsal and confirm the agreed visibility before adding further operating teams. Connections to an external fleet or workshop system need their own mapping and confirmation rules.
