What you can do

Start with the people who own the decision

Admin establishes the operating organization and links staff membership to user identities. Each team member has an active state, role name and time zone. Dispatcher uses that membership when assigning a load owner, and Maintenance Reviewer needs a recognizable identity on the recorded decision. Keep staff identity consistent when responsibilities change between shifts.

The organization also supplies its code, currency and time zone. Those details help the team interpret operational records, but selecting an organization should never be treated as permission to see all its work. Agree access with the people who own maintenance, dispatch and the supporting evidence before inviting the pilot team.

How the work is organized

  • Define operating scope. Admin establishes the active organization and confirms which staff belong to it. Tire Inspector and Dispatcher use the correct organization when preparing inspection and load records.
  • Separate preparation and review. Assign maintenance preparation to Tire Inspector and independent decisions to Maintenance Reviewer. A person changing roles during a shift still needs to respect that separation on their own work.
  • Maintain partner details. Dispatcher keeps transport partner contact information, active state and eligibility notes current. Verify the organization relationship before using a partner on a new load.

What to agree during setup

Prepare the people who will participate in the pilot and identify who can act when the usual reviewer is absent. Agree the access needed for investigation without handing every user configuration rights. Operations Analyst needs to read outcomes and evidence; that responsibility does not require changing inspection measurements or approving maintenance.

Define the organization’s time zone and check how team members working elsewhere will read dates. Match user identities to team membership deliberately, particularly when staff share similar names. Review an access removal and a change of load owner during rehearsal. Keep a named person responsible for each unresolved load or inspection through those changes.

Check the handoff on an actual case

An inspector transfers to another operating team while an inspection is still Submitted. Admin updates the membership and access arrangements. Dispatcher and Maintenance Reviewer identify who will follow the outstanding case. The original uploader and deciding person remain understandable; the handoff should not rewrite them to make the new team appear responsible for earlier work.

Next, sign in as Operations Analyst and try to change a submitted tire reading. The access rehearsal should demonstrate the agreed read-only responsibility. Sign in as Tire Inspector and attempt to approve that person’s own submitted work. Resolve any access behavior that permits the self-approval before the pilot is released.

Also check a transport partner that has become inactive. Dispatcher should review the contact and eligibility information before creating another commitment with that partner. Historical loads retain the partner identity needed to explain the work already performed.

What your team sees

  • Team Members — Review active staff membership, user identity and operating responsibilities.
  • Transport Partner Directory — Find active partner contacts and eligibility notes for the relevant organization.
