What you can do
Close the transport promise with receiving evidence
A delivery claim needs to identify which load arrived and which stop received it. Delivery evidence records the delivery time, receiving person and signature reference, with notes for the circumstances that matter. The Delivery Coordinator starts with a Captured record, checks it against the intended stop and supporting documents, then marks it Verified or Disputed according to the result.
The Delivery verification screen brings captured and disputed records into the same review routine. A late signature can be investigated without pretending the record was verified when it first arrived. The receiving evidence also gives the Freight Analyst a basis for investigating a delivery-related charge.
How the work is organized
- Capture the arrival. Select the load and the receiving stop, enter the actual delivery time and identify who received the goods. Add the signature reference and a useful note while the circumstances are still clear.
- Keep the documents traceable. Store a bill of lading, photo, signature or other document with a recognizable title and parent reference. The coordinator should be able to find the original evidence when a plant or transport partner asks about it.
- Verify the handoff. Compare the evidence with the intended stop and load before marking it Verified. Use Disputed when the receiving account conflicts with the transport record, then keep the issue visible while the responsible people investigate.
What to agree during setup
Agree what evidence is acceptable for inbound materials, inter-plant transfers and customer deliveries. The receiving person’s name and signature reference may be enough for one lane, while another movement needs the bill of lading and a photo. Decide who can verify the delivery and who contacts the plant when evidence is incomplete or contradictory.
Choose a clear convention for attachment parent references. A document with a familiar filename can still belong to a different load, so the reference matters during review. Compare each verified delivery time with the promised delivery time recorded on its load, retaining the stop identity in the result. A movement with several delivery stops needs a visible result for each delivery before the Dispatcher decides the overall load outcome.
Check the handoff on an actual case
Rehearse an outbound finished-goods load with a customer delivery followed by a service stop. The Delivery Coordinator receives a signed document for the customer and captures the delivery against that stop. Check the load reference, receiving name and actual delivery time before verification. The later service activity should not overwrite the customer’s delivery evidence.
Then use a document carrying the wrong load reference. Mark the captured evidence Disputed and contact the source for clarification. Keep the disputed account available while a corrected reference is reviewed. The Dispatcher checks the remaining stop work before marking the load Delivered; a signature for an intermediate stop alone does not settle the rest of the trip.
What your team sees
- Delivery verification — Captured and disputed receiving evidence awaiting the coordinator’s review.
- Stop progress — Stops marked Planned, En Route, Arrived or Missed, with their sequence and receiving contact.
- Tracking event review — Transport milestones that help explain the reported arrival.
Follow the work through
Follow delivery verification, then freight and outcome reconciliation.
