What you can do
Follow the stop that actually happened
Delivery Coordinator follows the pickup and delivery sequence from departure through arrival and completion. Each stop retains its address and position in the load’s journey. Tracking events provide the reported milestone, location and source, while proof of delivery records who received the freight and when. Together they give dispatch a basis for investigating a delayed or disputed handoff.
A tracking event and delivery proof serve different purposes. An Arrival event helps explain progress. Delivery confirmation also needs the correct load and stop, the receiver and the delivered time. Keep those details together when the transport manager or settlement team asks why a load is considered complete.
How the work is organized
Update the stop being worked, leaving later stops visible in their own states. Record delays and exceptions as they arise, with a useful location and explanation. Driver App, Telematics, Dispatcher and Partner identify the event’s source. Agree any external feeds during setup and review their reporting times when events arrive late.
- Work the sequence. Move the relevant stop through En Route and Arrived to Completed as the physical handoff progresses.
- Capture the confirmation. Record the delivered time and receiver against the load and stop, with signature evidence where available.
- Resolve the evidence. Verify captured proof after checking it, or mark it Disputed while the responsible person investigates.
What to agree during setup
Decide which delivery documents the customer expects and who checks a disputed receiver or time. Agree how stop contacts are kept current, especially when a customer changes a receiving warehouse. Define who enters partner-reported events and who confirms their meaning before the load is treated as executed.
Use a shared convention for signature references and attached files. A photo, bill of lading and signature should each identify the load they support. Rehearse a late event and a corrected delivery location so the team can explain the actual sequence without replacing the original evidence.
Check the handoff on an actual case
A load has a service stop before its final delivery. Delivery Coordinator records an arrival at the service address. The final receiver later sends a signed delivery document, but it names a different location from the final stop. The coordinator captures the document and marks the proof Disputed while checking the address with Dispatcher.
Once the discrepancy is resolved, the coordinator records the appropriate outcome and checks the completed delivery stop. Dispatcher reconciles the assignment and load completion. Settlement Clerk should be able to find the receiver, delivered time and explanation before preparing the driver’s statement. During rehearsal, leave the dispute unresolved and confirm that the settlement reviewer asks for the outstanding evidence.
