What you can do

See what the maintenance job consumed

Spare-part records identify each item by name and part number, with its unit, quantity on hand and reorder point. Maintenance Manager uses that information when preparing work and reviewing replenishment needs. Technician checks the item and unit before recording what the job used.

Part usage connects a quantity and use date to a work order and a spare part. That link lets the team review consumption against the maintenance scope instead of relying on a description entered in a work log. The work-start workflow posts planned part usage exactly once as part of authorized execution.

How the work is organized

  • Recognize the spare. Maintenance Manager maintains the name, part number and unit used by the team. Similar names should lead to a part-number check before Technician records consumption against a job.
  • Record consumption. Technician captures usage against the correct work order and part. Review the quantity in the item’s own unit, keeping the use date tied to the event the team is recording.
  • Review availability. Maintenance Manager compares quantity on hand with the reorder point and investigates the parts needed for upcoming maintenance. Purchasing can be connected to the system that owns supplier orders and receipts.

What to agree during setup

Agree a consistent unit for each spare and reconcile the opening quantities before the first operating cycle. Explain whether a part is counted individually, by length or by another local unit. Avoid combining different units when reviewing consumption across the parts list.

Decide who maintains quantities and reorder points, how a physical discrepancy is investigated and how authorized stock information reaches the register. Rehearse the boundary between planned consumption posted at work start and later entries captured by Technician. The team should understand which event already recorded usage before entering another line for the same work.

A replenishment review needs a clear owner. Maintenance Manager can identify a part requiring attention and pass the requirement to purchasing through the agreed connection or operating procedure. Set that handoff before a shortage delays a scheduled maintenance job.

Check the handoff on an actual case

During maintenance on TD-17, Technician uses a replacement screw from the spare-part register. Confirm its part number and unit, record the quantity against the correct work order and review the dated usage. Maintenance Manager checks that the usage belongs to the authorized job and compares the current quantity on hand with the reorder point.

Repeat the work-start action during rehearsal. The same planned consumption should not appear again merely because the request was retried. Then examine an item with a similar description but a different part number. Resolve the selection before the usage record is accepted so later replenishment decisions concern the spare actually consumed.

What your team sees

  • Parts on hand — Check available quantities, units and reorder points.
  • Recorded part usage — Trace dated consumption to the maintenance work and spare part.
