What you can do
Check the permission to perform the work
A permit identifies the type of controlled work, its work order and the person issuing it. Its valid-from and valid-to dates define the interval the team must consider when starting maintenance. An Approved label needs to be read alongside those dates and the actual work scope.
Maintenance Manager includes the permit decision in work authorization. Technician reviews the approved interval before execution and uses the authorized start action, which checks safety and authorization. A permit that has reached Expired or Closed needs attention before the team relies on it for further work.
How the work is organized
- Request. Record the permit type and link it to the work being authorized. Confirm the issuing person’s identity and the intended interval so the approver can make a decision against a specific maintenance request.
- Approval. Maintenance Manager coordinates the permit approval. Where the business delegates issuing responsibility, configure Safety Permit Issuer during setup and agree which work that person may approve.
- Use and follow-up. Technician checks the permit against the intended start. When timing or scope changes, Maintenance Manager reviews the permit position before rescheduling the maintenance and explains the decision to the assigned Technician.
What to agree during setup
Agree the permit-type vocabulary and when the shop requires a permit. Use the site’s actual operating procedures to define the necessary decision and the permitted interval. The software records that authorization; the people responsible for safe work must still assess the physical conditions and instructions applying to the job.
Decide who issues a permit and who handles a delayed start. Establish how the team treats the beginning and end of the validity interval, especially when a job crosses a shift boundary. Include a review of who can approve, who can read and who can correct a permit record. A screen shared for visibility should not become an unintended route to authorization.
Check the handoff on an actual case
Schedule TD-17 for maintenance during an agreed permit interval. Maintenance Manager checks the work-order reference, permit type and issuer before the permit becomes Approved. Technician opens the same work order and verifies that the planned start falls within the approved interval.
Now delay the start until the interval has ended. The start rehearsal should reject reliance on the expired authorization. Maintenance Manager reviews the revised timing and obtains the appropriate permit decision before Technician tries again. Record the outcome of the rehearsal and explain what the Technician should do when a delayed job still appears in the assigned-work list.
Also test a permit attached to a different work order. The presence of an approval elsewhere should not satisfy this job’s safety check. This case helps the team distinguish a valid document from authorization for the exact work it is about to perform.
What your team sees
- Permit requests — Review permit type, issuer and proposed work interval.
- Approved permit intervals — Check approved permits against the timing of maintenance.
Follow the work through
Follow work authorization, then start maintenance using the approved scope and interval.
