What you can do
Bring equipment condition into the dispatch conversation
Fleet Coordinator keeps the equipment record connected to inspection findings and maintenance work. An inspection records its result, inspector and observation time, with notes explaining defects. A separate defect record carries severity, repair status and an owner. This gives dispatch a named person to contact when an asset’s condition affects the next load or yard movement.
Maintenance plans identify the service type, interval and next due date. Review them alongside the asset’s operating status before treating equipment as available. Fuel and energy transactions add dated purchase records against the asset, with volume and cost details. They provide supporting operating history for the fleet team to examine.
How the work is organized
- Record the finding. Retain the inspection result and notes against the correct asset. A result of Pass with defects needs an explanation that Fleet Coordinator can follow into the defect review.
- Assign the follow-up. Give each defect an owner and review its severity. Use Open, In Repair, Repaired or Deferred to describe the current work, with a description that remains useful to the next shift.
- Maintain the service plan. Review the next due date and service status with the equipment record. Keep active plans recognizable so completed or inactive work does not distract from the upcoming maintenance discussion.
What to agree during setup
Agree who changes an asset’s operating status and who decides whether the recorded condition allows the planned work. Establish a practical handoff between Fleet Coordinator and Dispatcher. An inspection result should reach the person arranging equipment before another assignment is made on outdated availability information.
Prepare examples of a minor defect, a critical defect and overdue service. Decide how the team documents a deferral and which evidence is needed before recording a repair. For fuel imports, agree the asset reference and units used for volume and cost. Reconcile the source transaction with the recorded total before accepting the import.
Check the handoff on an actual case
An inspection on trailer T-204 records a brake concern. Fleet Coordinator creates the defect against that trailer, records its severity and assigns the responsible team member. The asset’s operating status is reviewed before Dispatcher arranges the next movement. Yard Operator can locate the recorded visit and explain when its yard position was observed while the fleet team investigates.
After repair, Fleet Coordinator updates the defect and checks the next maintenance due date. The earlier inspection stays connected to the same asset. Ask Dispatcher to explain which current equipment status is being used for planning and ask the repair owner to locate the original observation. The handoff should make the reason for the changed availability understandable without relying on a verbal summary.
What your team sees
- Open Defects — Open and in-repair findings with severity and the responsible team member.
- Maintenance due — Active, unfinished plans whose next due date has arrived, ready for service review.
Follow the work through
Rehearse defect to service follow-up, then return to load planning to dispatch when equipment is ready for consideration.
