What you can do
Recognize the trailer before recording its visit
A yard visit starts with an identifiable piece of equipment. Fleet Coordinator records the trailer’s unit number, plate and operating organization. Yard Operator checks that asset against the arrival paperwork. After departure, the operator saves the visit with both actual timestamps and the observed yard position. A familiar description helps the team find equipment, while the asset reference keeps visits connected when a description changes.
Dispatcher maintains the transport partner involved in the load. The partner may be a carrier, broker, shipper or logistics provider. Its contact and eligibility note give the next shift a starting point for an operational question. Keep those details current before a delayed collection turns into a search for the responsible company.
How the work is organized
- Equipment identity. Maintain the unit number and organization with the trailer asset. Check the plate when similar unit numbers appear in different fleets. Select Trailer as the asset type so trailing equipment remains distinct from the truck assigned to a load.
- Operating condition. Fleet Coordinator maintains whether equipment is Available, In Service, in Maintenance or Out of Service. Yard location belongs to the visit as an observation associated with that stay. Check fresh operating evidence before using an earlier visit to locate equipment.
- Transport responsibility. Dispatcher links the counterparty to the load and maintains its contact details. Use the partner’s eligibility note to carry information the next dispatcher needs to review before arranging work.
What to agree during setup
Agree how existing unit numbers map to asset records and which organization each asset belongs to. Decide who can correct a plate or retire an asset from active use. Establish yard names that staff can recognize and keep location wording consistent across shifts. Review the partner list for duplicate names before importing open loads.
Bring a trailer list and representative arrival paperwork to the pilot. Include an asset awaiting maintenance and a partner whose contact has changed. Fleet Coordinator should be able to explain the equipment status, while Dispatcher can identify the company responsible for the next load movement.
Check the handoff on an actual case
Trailer T-204 arrives at the north yard carrying a load arranged by a broker. Its side marking resembles an older trailer from another operating company. Yard Operator checks the plate and notes its bay location with the arrival paperwork. At departure, the operator saves the visit against the correct asset with both actual times. Dispatcher links the load to the broker already held in the partner records.
During the next shift, Fleet Coordinator updates the trailer’s name after checking the equipment. The visit still points to the same asset and load. Ask the receiving shift to locate that visit using the unit number, then identify the broker’s contact without creating another partner. The rehearsal should leave a clear equipment identity and a usable handoff.
