What you can do
Operations oversight in the working day
Operations Overview combines posted document value, ledger balance, pending review decisions and failed operations with a ranked exception queue. Operation receipts records the action type, reference, occurrence time, result and actor. Review decisions carries the reviewer, decision, conditions and notes. Record attachments links a file to its parent record, with uploader and time. These records help a Controller follow what happened after a person pressed an action.
How the work is organized
- Record owner. Keep the responsible organization and source identity clear before the next person acts.
- Decision point. Use the current status and the underlying lines or linked records to decide the next step.
- Evidence trail. Keep the reviewer, amount and operation outcome traceable from the business record.
A failed reimbursement release should leave the reimbursement in the correct state while the operation receipt points to the failed attempt. The Controller can inspect the report approval decision, the scheduled payment and the release result without treating a green status in one place as proof that all downstream work finished. A partial operation also belongs in review.
What to agree during setup
Agree how each team identifies a failed operation, assigns an owner and records its resolution. Define which attachments are required for the organization’s review practice and who may see them. Keep the reference on an operation receipt tied to its business record; generic notes without a traceable reference are hard to investigate.
The team should decide who handles corrections before the first live cycle. Give each handoff an owner and confirm that a failed action remains visible to that owner. Use one representative supplier and one exception during setup, so permissions and reports reflect the work people will actually do.
Check the handoff on an actual case
Approve a submitted report, then inspect its decision and operation receipt. Schedule a reimbursement and rehearse a failed release result. Controller should locate the failed receipt from Operations Overview, open the linked business record and understand whether another attempt is needed. Preserve both the failed attempt and the later successful one.
Ask the next role to find the same case from their own screen without help from the preparer. They should be able to identify the supplier or partner, the relevant amount, the current status and the supporting decision. If a correction is needed, keep the prior result available and repeat the handoff with the corrected record.
