What you can do
Reimbursement control in the working day
Treasury Analyst creates a reimbursement linked to the approved expense report and supplier. The record carries direction, date, amount, method and status. The configured release action guards the move from Scheduled to Released and writes an operation receipts result. The status records the local release action; it does not confirm an external transfer. Reconciled is a later status, reached after the team checks a bank reference and actual outcome; a release event alone is not bank confirmation.
How the work is organized
- Record owner. Keep the responsible organization and source identity clear before the next person acts.
- Decision point. Use the current status and the underlying lines or linked records to decide the next step.
- Evidence trail. Keep the reviewer, amount and operation outcome traceable from the business record.
The analyst checks the requested amount against the report total and any amount already reimbursed. A hotel supplier report can have one planned outbound reimbursement; a partial settlement should leave a visible balance on the report. Keep the supplier and report links intact so finance can trace a payment back to its approved cost. Failed payment attempts remain visible instead of being silently replaced.
What to agree during setup
Agree who may schedule, who may release, which payment methods are in use and which bank system supplies the final reference. Decide how the team records a failed release, a returned bank item and a correction. Controller should review the authority boundary before the release action; the Treasury Analyst maintains the operational record.
The team should decide who handles corrections before the first live cycle. Give each handoff an owner and confirm that a failed action remains visible to that owner. Use one representative supplier and one exception during setup, so permissions and reports reflect the work people will actually do.
Check the handoff on an actual case
Use an Approved report with a known open balance. Schedule a reimbursement for that supplier, select the method and release it through the action. Confirm that the status becomes Released and the operation receipt is present. Add the bank reference only after the external result is known, then mark Reconciled. A failed operation must stay in the exception queue for investigation.
Ask the next role to find the same case from their own screen without help from the preparer. They should be able to identify the supplier or partner, the relevant amount, the current status and the supporting decision. If a correction is needed, keep the prior result available and repeat the handoff with the corrected record.

What it keeps track of
Data model- Reimbursements
- Money movement to suppliers and partners, matched to an expense report or accounting document and reconciled to the bank.
- Expense reports
- Expense report header: a traveler's claim submitted, reviewed, approved and reimbursed, with supplier reference, totals and reimbursement status.
- Suppliers
- Travel suppliers and merchants settled through expense reports and reimbursements, with payment terms, category and remittance details.
- Operation receipts
- Evidence that an operation actually ran: who triggered it, when, with what result and where the output lives.
- Review decisions
- Approval trail: who approved, rejected or returned a bill, invoice, payment or journal entry, when and under what conditions.
