What you can do
Confirm on the bank's own evidence
After authorization, the Settlement Officer submits the instruction to the bank under one stable operation key and records the bank’s instruction identifier. From then on, the bank’s own evidence decides the outcome. Statements, confirmations, settlement advices and corrections arrive as evidence lines with the provider’s event identifier, the date, the amount and a verified marker.
The instruction moves to Confirmed only when verified settlement or confirmation evidence is in. If the connection to the bank drops and nobody knows whether the instruction arrived, it is held as Pending with a receipt that needs review. It is not sent again automatically. A repeated submission under the same key returns the earlier result; a different submission under that key is refused.
How the work is organized
- Submit once. Each authorized instruction is submitted under one operation key. The bank’s instruction identifier is kept on the instruction.
- Evidence by provider event. Each evidence line carries the provider’s event identifier, so the same statement line is never counted twice.
- Confirm on verified evidence. Only verified settlement or confirmation evidence confirms the instruction. A rejection from the bank marks it Rejected.
What to agree during setup
Agree how each bank sends evidence: statement files, confirmation messages or portal downloads. Agree what makes evidence verified, for example a matching bank reference and amount. Agree who investigates a Pending instruction and how quickly, especially near cut-off. Decide who may contact the bank to establish whether an uncertain submission arrived.
Check the handoff on an actual case
The Settlement Officer submits the authorized 25,000,000 USD deposit to RB-LON at 11:02. The bank’s gateway times out. The instruction is held as Pending and its receipt shows needs review. The officer does not resubmit. She calls the bank, which confirms the instruction arrived and was accepted.
At 14:30 the bank’s settlement advice arrives with event identifier RB-88412 for 25,000,000. The officer verifies it against the instruction and the instruction moves to Confirmed with the confirmation date. When the same advice arrives again in the end-of-day statement, its event identifier is already known and it is not added a second time.
