What you can do
Commit resources against a real interval
Dispatcher links a load to its driver and vehicle, with a committed start and end. Those times let the team compare the proposed work with other assignments before making a promise. A driver appearing in the roster or a vehicle appearing on the board does not by itself establish that either is available for this load.
Fleet Coordinator keeps eligibility dates, equipment details and readiness evidence current. Dispatcher uses that evidence when confirming an assignment. Transport Supervisor reviews the dispatch scope independently before release. Keep the resource check and the movement decision connected so a late substitution does not carry forward approval for different equipment.
How the work is organized
- Check the driver. Review the active setting, eligibility expiry and external authority reference. Confirm eligibility across the expected work interval and consult the authority source when the evidence needs renewal.
- Check the vehicle. Compare the equipment class with the load requirement. Review capacity against the shipping evidence, then inspect readiness and any linked defect or repair evidence before choosing the vehicle.
- Compare commitments. Look for overlapping held, confirmed and dispatched assignments that share the driver or vehicle. Resolve the conflict before confirming the interval or releasing the load.
What to agree during setup
Agree who maintains driver eligibility and who may change vehicle readiness. Define how repair evidence is checked before equipment returns to service. A release time needs a clear meaning in the team’s process; its presence should not replace a review of the actual repair evidence and current vehicle state.
Choose the time-zone convention for assignment starts and ends. Decide how the team handles a job that runs beyond its planned end, including the next load waiting for the same resources. Driver-hours assessment and external fleet monitoring need their own configured sources. Use their evidence in the dispatch review without assuming that an assignment calendar grants driving authority.
Check the handoff on an actual case
A driver is assigned to a load ending in the early afternoon and is also considered for a pickup that starts before that interval finishes. Dispatcher compares the full intervals and keeps the later assignment held while the conflict is resolved. Moving a card between statuses cannot make the shared time available.
Fleet Coordinator identifies a replacement driver but discovers that the proposed vehicle has a major defect. The team checks the repair evidence and readiness before selecting another vehicle. Dispatcher then confirms the revised resources and asks Transport Supervisor to review the current load scope. Rehearse the same case with expired driver eligibility so the team can demonstrate that a familiar driver still receives a fresh check.
What your team sees
- Load Assignments Default List — Committed start and end times beside the driver, vehicle and assignment state.
- Drivers Roster — Active drivers with eligibility expiry and the authority reference to check.
- Fleet Readiness Board — Equipment class, capacity and readiness for the fleet review.
Follow the work through
Begin with plan and assign a load. Continue to review and dispatch after conflicts and eligibility questions are resolved. Use the implementation plan to rehearse substitutions.
