What you can do
Keep decisions and execution outcomes connected
Transport Supervisor needs to know which load revision was reviewed, who made the decision and why. The decision record retains that context with the operation key. Dispatcher can then distinguish an approved request from a changed request that needs another review before movement or correction.
Operations Analyst uses operation receipts to investigate execution. Each receipt identifies the action, expected revision and result, with references to local effects or an external source where available. A failed action needs an explanation. An uncertain result stays visible until the evidence establishes what actually happened.
How the work is organized
- Review the current scope. Transport Supervisor approves, rejects or returns the load request with a reason. Compare the source revision before using a decision so an earlier approval cannot authorize a changed assignment.
- Inspect the action receipt. Use the stable operation key to find the action outcome and its linked effects. Retain the failure reason and external reference when an action needs follow-up.
- Reconcile before repeating work. Recheck the linked effects first. Keep unresolved discrepancies marked for review until the authoritative source confirms the result, without sending the external action again during reconciliation.
What to agree during setup
Agree which evidence supports dispatch approval and correction approval. Name the independent reviewer for each organization and explain how a returned request reaches the preparer. The review reason should identify the issue that must be resolved, rather than leaving the next shift with an unexplained rejection.
Define how operation keys are generated and how repeated requests are matched to their earlier outcomes. Decide who checks uncertain external effects and where confirmation is retained. Local completion cannot stand in for a carrier’s acknowledgment or a financial settlement. Keep accounting and other external consequences under their own authorized process.
Check the handoff on an actual case
Dispatcher attempts an action and receives a failure while the linked load shows a possible change. Operations Analyst opens the receipt and compares its expected revision and effect references with the current load. The team first determines whether the local effect happened, whether the evidence is incomplete or whether an external source must confirm the outcome.
Rehearse the same operation key arriving again. The investigation must preserve the original receipt and avoid repeating external work. If the unresolved result is marked for review, Transport Supervisor considers any required correction against the current scope. Dispatcher cancels only work that has not been executed. A truck that already departed still needs its physical outcome explained even if later work is cancelled.
What your team sees
- Operation Receipts Default List — Pending, failed and unresolved outcomes with the action and failure reason.
- Review Decisions Default List — The reviewer, source revision and reason behind approval, rejection or return.
- Handoffs awaiting review — Warehouse handoffs needing a supervisor’s decision before completion.
Follow the work through
Use review and dispatch for release decisions and exception reconciliation for unresolved actions. Agree external evidence ownership in integrations.
