What you can do

Start with the right unit

Maintenance Coordinator and Dispatcher need the same understanding of each vehicle. Unit number, asset type and organization identify the equipment; active state and operating status explain its current use. Available, In Service, Maintenance and Out of Service should mean something consistent to the people planning the next trip. A familiar name alone is not enough when similar vehicles work across operating companies.

Drivers retain their license class, license expiry and availability status. Keep these records current alongside the vehicle list so the dispatch team can review the person and equipment selected for a load. Fleet preparation also includes preventive maintenance plans and recorded fuel purchases, which help the maintenance team investigate service needs and operating history.

How the work is organized

  • Identify the equipment. Use the unit number and asset type to distinguish a powered vehicle from a trailer or other equipment. Review active state before selecting a unit for current work.
  • Review service dates. Maintenance plans retain the service type, interval and next due date. Scheduled, Due Soon, Overdue and Completed help the coordinator discuss what needs attention with dispatch.
  • Keep purchase context. Fuel records carry the vehicle, purchase time, fuel type and odometer. Compare the amount with the recorded volume and unit cost before relying on the entry for an operating review.

What to agree during setup

Agree the fleet naming convention and match every imported vehicle to its operating organization. Decide who can change a unit’s status and how to explain a return from Maintenance or Out of Service. A service completion should be reviewed with the vehicle’s current inspection findings before Dispatcher relies on availability.

For maintenance plans, agree how intervals are described and how the next due date is updated after service. Different fuel types need clear measurement conventions. Keep electricity purchases distinguishable from liquid fuel when reviewing volume. If the team wants workshop or fuel-card information brought in from another system, establish the source and reconciliation steps in the connection setup.

Check the handoff on an actual case

Unit V-214 is marked Maintenance while its brake work is underway. A service plan is Overdue, and a recent fuel purchase carries the odometer reading from its previous trip. Maintenance Coordinator checks whether the planned service can be completed during the same workshop visit, then records the actual service disposition.

Dispatcher reviews the unit again only after the maintenance team explains its condition and the latest pre-trip check is available. A different unit may be selected while the work continues. Rehearse a trailer with an Available status beside an available truck: the asset type still matters when the load needs a power unit. Review an inactive driver as a separate master-data exception instead of assuming an available vehicle makes the whole assignment suitable.

What your team sees

  • Fleet Readiness — Compare vehicle type, active state and operating status before selecting equipment.
  • Maintenance Due — Find active, unfinished service plans whose next due date has arrived.
  • Fuel Purchases — Review vehicle-linked purchases with their odometer and fuel details.

Follow the work through

Inspection to repair explains condition follow-up. Load review to assignment takes the selected vehicle into transport work. Use the data model to prepare the fleet import.
