What you can do
One record for every registered vehicle
The registry holds each vehicle the office has registered: its VIN, plate number, vehicle class, registered owner and registration expiry date. The owner is a party, so a fleet operator’s vehicles all link to the same owner record. Inspections, permits and enforcement cases all point back to the same vehicle.
When a Case Officer records a vehicle, the VIN, plate, owner, class and expiry are checked, and a VIN or plate already on another vehicle is refused. Recording or updating a vehicle opens or refreshes the registration case for the reviewer, so a change to the registry always has a case behind it.
How the work is organized
- Identity checks on entry. VIN and plate are checked for duplicates before a vehicle is saved.
- Owner as a party. Ownership changes move the vehicle to another party through a transfer case.
- Expiry watched ahead. Registrations nearing expiry appear on one list for renewal notices.
What to agree during setup
Agree your vehicle classes and how plate numbers are formatted. Decide how far ahead of expiry renewals start and how owners are notified. Plan the migration of the existing register, including how duplicate VI ns in legacy data are resolved before import.
Check the handoff on an actual case
A dealer submits registration for a new motorcycle. The Case Officer records the vehicle with its VIN, the assigned plate, the motorcycle class, the buyer as owner and an expiry date. The registry finds the plate already assigned to a scrapped car in the legacy data and refuses it. The officer issues the next plate in the series, the vehicle is saved, and the registration case moves on for review.
A year later the motorcycle appears on Expiring Registrations. The office sends the owner a renewal notice, and the renewal comes in as a new case against the same vehicle.
