Help your team prepare the next decision

Give your team focused help with review preparation and follow-up.

It can

  • Assessment Owner: Find questionnaires due soon and prepare the next vendor follow-up from their current status.
  • Inspector: Check an inspection for pending control results and gather the linked evidence for review.
  • Reviewer: Present elevated control answers and failed inspection checks with their parent records.
  • Corrective Action Owner: Summarize due work with its linked nonconformance and recorded action.

Stays with a person

  • The agent can help people locate and compare the recorded work.
  • It cannot decide that a vendor response is acceptable, that a failed control has been corrected or that an action is effective without the authorized person's review.
  • Keep the person who made a decision visible in the operating process and inspect the underlying evidence before changing a status.

Implementation

Roll out one team at a time

Start with one team and one process, then add the rest once the basics are running.

  1. Agree scope

Choose a vendor questionnaire and an inspection subject that the team can work end to end. Define control codes, required checks and decision authority.

  2. Prepare people and documents

Connect staff identities to People, assign the Inspector and Reviewer, and load the current assessment procedure with its version and effective date.

  3. Enter working records

Create the questionnaire, answers, inspection and checks with real evidence. Confirm every child record points to the correct parent.

  4. Rehearse decisions

Submit a complete inspection for review, reject an incomplete submission, examine an elevated answer and record the questionnaire and inspection outcomes.

  5. Follow up

Run a failed-check case through nonconformance and corrective action, then review the action’s effectiveness against the original failure.

FAQ

Questions, answered

Scope, rollout and pricing for Vendor IT Security Assessment.

All questions
How do I get started?

Click Get started, then use Proto to configure Vendor IT Security Assessment for your business. Begin with one vendor questionnaire, one inspection subject, named owners and the current assessment procedure.

What does a questionnaire record?

It identifies the vendor, version, due date, owner and review state. Control answers and their evidence link to that questionnaire.

How are elevated answers reviewed?

Each answer has a risk rating. The Reviewer can inspect high and critical answers with their written response, attachment and parent questionnaire before deciding the questionnaire outcome.

Can we inspect internal subjects too?

Yes. An inspection has a subject reference and type. Agree a naming convention so the subject remains clear when the Reviewer opens its checks.

What happens when an inspection check fails?

The Inspector records the result and observation. The Reviewer can link a nonconformance to the inspection and assign corrective work with an owner and due date.

Who closes a corrective action?

The Corrective Action Owner records implementation. The Reviewer examines effectiveness against the linked nonconformance before approving closure.

How are audit findings tracked?

Each finding belongs to an audit and has a requirement, finding text, severity, owner, due date and closed date.

How do document acknowledgments work?

An acknowledgment links a person to a controlled document and records its date. Keep document versions distinct so the record shows which procedure the person acknowledged.

Where do vendor responses come from?

Choose an exchange channel with the vendor during setup. The Inspector places each answer and attachment under the correct questionnaire version for review.

How do we test access before use?

Use a pilot with the named Inspector, Reviewer, Assessment Owner and Corrective Action Owner. Check their working queues and direct record access with a representative case.
