What you can do

Inspect a named subject

An inspection has a number, subject reference, type, scheduled date and assigned person. The subject reference tells the team which vendor or internal scope is being inspected. The type distinguishes incoming, in-process, final and service work. Those details keep the review tied to a particular engagement instead of an informal list of control comments.

The Inspector starts planned work, opens the linked checks and records the result of each requirement. A check can be pending, pass, fail or not applicable, with an observation and evidence attachment. The active inspection workflow guards submission when a required check is missing. Once the checks are complete, the inspection moves into review, where the Reviewer examines the recorded results before an accepted or rejected outcome.

How the work is organized

  • Assignment and timing. The assigned person and scheduled date identify who should perform the work and when.
  • Control-level checks. Each result, observation and attachment remains linked to its inspection.
  • Review state. Planned, in progress and review separate work being prepared from work awaiting a decision.

What to agree during setup

Decide how the subject reference is formed and how inspection types map to the team’s work. If the same vendor has several reviews, the inspection number and subject reference must make each scope clear. Agree which checks are required before submission, who can record a not-applicable result and what explanation the observation should contain in that case.

Name the Reviewer for each inspection cycle and agree what an accepted outcome means. Acceptance should follow a reading of the checks rather than the absence of a visible failed label. If a failure needs follow-up, agree when the Reviewer records a nonconformance and how the team chooses its severity. This makes later corrective work traceable back to the inspected subject.

Check the handoff on an actual case

Take a scheduled service inspection. The Inspector opens the record, confirms the subject and assigned person, and records a pass with evidence for one requirement. Another required check has no result. Rehearse the submission and confirm that the incomplete check blocks the move to review. Complete that check, then submit and ask the Reviewer to read the full set before deciding.

Repeat with a failed check. The Reviewer should see its requirement, observation and evidence together. A rejected outcome should point the team toward a linked nonconformance rather than leaving the failed result in a detached note. The date and inspection number let an Auditor later find which engagement produced the failure.

What your team sees

  • Planned inspections — Assigned inspections that are planned or currently being worked.
  • My inspections — The Inspector’s own scheduled and completed work.
  • Inspections awaiting decision — Submitted inspections ready for the Reviewer.

Follow the work through

Follow inspection review to see the submission and decision path. For failures, continue to correction and effectiveness.
