What you can do
Preserve who recorded the care
Each clinical note keeps the note type and note text with its encounter and author. Its status distinguishes Draft, Signed and Amended, and signed date records the signing date. Observations hold metric, value, unit and observation date with encounter and recording clinician. These records let the veterinarian explain what was documented and measured during the visit, while the reviewer can locate the responsible person.
For a rehearsal, record a clinical note during Milo’s encounter and an observation with a clearly stated unit. Check that the note author and the recording clinician resolve to the intended staff records. Record each measured value with its unit and observation date so the next clinician can interpret it alongside the narrative note.
How the work is organized
- Draft work. Veterinarian prepares note text under the appropriate note type and encounter. The personal draft queue uses author resolved through the staff member’s linked user account. A draft is work in progress and must remain distinguishable from signed documentation.
- Signed documentation. Signing moves the note from Draft to Signed with signed date. Amended is a supported separate state. Agree the permitted correction path with Clinical Reviewer before using it.
- Measured evidence. Observations retain the metric name, decimal value, unit and recorded time separately from narrative notes. Recording clinician provides attribution. Keep measurements attached to the encounter where they were actually obtained.
What to agree during setup
Agree the note type vocabulary staff will enter and how clinical owners interpret each metric and unit. Use clear wording and consistent units so the reviewer can interpret each measurement. If values arrive from another clinical system, configure that connection and validate the encounter mapping before accepting imports.
Review the documentation and review privilege requirements with the relevant clinical owners, along with Active care-team coverage. My clinical drafts requires identity resolution through the staff member’s linked user account during setup. Rehearse access using ordinary accounts so a colleague cannot read another patient’s restricted notes merely by finding a record link.
Billing works from a minimal encounter projection. Clinical notes and observations must stay outside that billing workflow’s read scope. Service description may describe what is being billed, but it should not become a substitute channel for copying sensitive clinical detail into a broader financial queue.
Check the handoff on an actual case
Have Veterinarian write a Draft note and sign it after checking the patient and encounter. Inspect signed date and author, then let Clinical Reviewer examine the note alongside its related observation before deciding encounter completion. Review the unit and observation date whenever the value is used to support a clinical conclusion.
Try proceeding without the required encounter documentation and check that the non-emergency admission path does not continue. Also test Billing Staff with a direct request for the clinical records. The minimal billing projection should remain sufficient to bill completed care without granting access to the underlying notes or measurements.
If a note needs correction after signing, rehearse the supported Amended state with Clinical Reviewer. Check how the corrected documentation appears to the next person reviewing the encounter and confirm its author and patient context. Review the signed evidence retained by animal capture and the veterinarian attribution of vaccination records separately from the narrative note.
